Role Description
We are looking for a full-time, on-site Project Support Coordinator at Fassmer Service America LLC in the Miami-Fort Lauderdale area. The Project Support Coordinator will work closely with the Technical Director, Operations Manager, and Project Managers to facilitate the deployment of Fassmer Service America personnel across multiple projects. Responsibilities include project support, coordination, analytical tasks, effective communication, and daily administrative assistance. This role reports to the Operations Manager and also supports the General Manager.

- Bachelor’s degree in Project Management, Business Administration, or a related field preferred
Key Responsibilities
Communication & Administrative Support
- Answer phones and respond promptly to emails.
- Assist with administrative tasks, including meeting setup and taking minutes.
- Help with invoicing and administrative accounting tasks.
- Book travel arrangements for FSA employees and manage on-call travel-related matters.
- Maintain travel document records, including passports, visas, and insurance.
- Communicate with clients and agents to understand travel restrictions and requirements before project commencement.
- Produce monthly travel reports or reports upon job completion.
- Coordinate with agents regarding vessel movements.
Documentation & Logistics
- Maintain document control.
- Assist the Operations Manager with logistics and procurement requests.
- Support the Sales department with quotes.
Professional Standards
- Adhere to Fassmer Service America's high-quality standards.
- Maintain a polite and professional demeanor at all times; negative correspondence from customers or colleagues may lead to termination.
Requirements
- Must live and or relocate to South Florida.
- Energetic personality with strong organizational skills.
- Excellent written and verbal communication abilities.
- Availability to work on holidays as needed in the maritime industry.
- Willingness to learn and navigate various travel websites used by Fassmer Service America.
- Associate’s degree or equivalent experience preferred.
- 1-3 years of relevant experience desired.
- Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and QuickBooks.
- Must pass a drug test; Fassmer maintains a drug-free workplace with random testing.
