Position Summary :
The Family Programs Administrator is a full-time position responsible for supporting Family Programs, specifically those funded through the Emergency Assistance (EA) program. This position is responsible for data monitoring and quality control, maintaining a housing inventory list, scheduling and maintaining an inspections calendar, communicating with multiple external vendors and entities, and other administrative tasks as needed.
Specific projects may include maintaining various databases and ensuring data integrity, creating and maintaining a department-wide housing availability list, managing an inspection calendar, and researching training opportunities for the department. The administrative tasks for which this position is responsible will be both program-specific as well as tasks for the overall EA program. The position may be responsible for assisting with reviews, audits and other program oversight activities. Applicants should be able to prioritize tasks and maintain strict deadlines.
This position reports to the Director of Family Programs.
Essential Responsibilities :
- Establish and maintain a housing inventory list to be used by various department programs.
- Establish and maintain an inspection calendar for the facilities team. This will include coordinating both internally and externally.
- Assist with preparation for audits and program reviews in conjunction with respective program leadership. This may include quality control of data, logistical support, and administrative preparation.
- Coordinate with donors around pickups and drop-offs, including monthly food deliveries and holiday donations
- Create and manage a reporting calendar for the department that includes a schedule of reports for all programs.
- Communicate with external vendors, including property owners, vendors, and suppliers.
- Manage the family shelter log on a weekly basis
- Manage the calendar for the usage of the programs van
- Update the department phone and email lists, as needed
- Update the program booklet for Family Programs content, as needed
- Attend and participate in staff meetings and trainings, as required.
- Answer the phone for the department and refer to appropriate services in-house and out, as needed.
- Demonstrate a high degree of confidentiality pertaining to case records and information.
