Essential Duties and Responsibilities include, but are not limited to:
- Creating and issuing accurate, timely invoices based on billable hours, services provided, and client agreements, without requiring partner oversight. Ensure all invoices reflect the appropriate rates, terms, and adjustments, and are aligned with client expectations and firm policies. Manage the entire invoicing process independently, from draft to final submission, ensuring that partners are only involved in the review process when absolutely necessary.
- Take full responsibility for monitoring, managing, and collecting outstanding accounts receivable (AR) to ensure timely cash flow for the firm. Proactively follow up with clients on overdue invoices, establish payment plans when necessary, and escalate unresolved issues while keeping partners informed only when escalation is required. Strive to resolve any AR-related issues independently, reducing the need for partner involvement in the collections process.
- Setting up, editing and deactivating clients in firm systems including the generation of engagement letters and ACH set up.
- Assist in the management of all firm credit card expense tracking
- Provide administrative support to the firm’s management including the generation of various practice management reports
- Identify opportunities to streamline billing processes and reduce errors or inefficiencies
Skills & Experience
- Exceptional communication, interpersonal, time management and organizational skills
- 3-5 years of office administration/management experience
- 1-2 years of billing and collections experience
- Attention to detail, good work ethic and initiative
