JOB SUMMARY:

The Project Management Supervisor (PMS) oversees the full range of client deliverables for assigned brand(s) from project planning to final delivery. They manage a team of Project Managers at various levels, ensuring best practices are followed and deadlines are met. The PMS’s expertise allows them to drive large, complex development efforts for multichannel tactics while delegating smaller tactics to their team. The PMS actively champions cross-

collaboration with agency departments including Account Management, Finance, Production, Creative, Editorial, Technology, Strategy, among others. The PMS proactively identifies ways to improve the efficiency of their brand(s) and works to implement those changes whenever possible.


ESSENTIAL FUNCTIONS:

  • Brand Responsibilities: Oversees the full range of client deliverables for an assigned brand(s) from project planning to final delivery with regard to timing, quality, and budget.
  • Financial Responsibilities: Partners cross-functionally with Account and Finance to preserve good financial health of projects.
  • Operational Responsibilities: Awareness and adherence to department and agency-level policy, process, and procedures.
  • Talent Management: Supervises junior team members, and learns how to evaluate work, give constructive feedback, and delegate.


JOB DUTIES / RESPONSIBILITIES:

Brand Responsibilities

  • Oversees full range of client deliverables for an assigned brand portfolio from project planning to final delivery with regard to timing, quality, and budget.
  • Independently owns a brand vertical and partners with other project management leads to ensure consistency and quality across brand.
  • Assists team in the management of complex projects and problems and advises how to approach an out-of- the-ordinary project or ask.
  • Oversees internal status and project meetings for assigned brand(s).
  • Serves as content matter expert (CME) to answer client project-related questions and attend client meetings as needed.
  • Takes proactive approach to managing risk at the brand level.
  • Creates brand Gantt chart in partnership with Account.
  • Collaborates with Account & PM team on creative briefs and charters.
  • Solves project or client challenges in tight collaboration with internal stakeholders.
  • Understands, upholds, and enforces internal procedures and brand requirements.


Financial Responsibilities

  • Partners cross-functionally with Account and Finance to preserve good financial health of portfolios and verticals.Manages and oversees scopes and project budget estimates as needed. Reviews financial output reports, incoming briefs, and timelines/estimates from team prior to internal team review.
  • Collaborates with Account on forecasting initiatives.
  • Partners with the full brand team and Finance to drive and execute annual scope of work through agency approvals.

Operational Responsibilities

  • Continuously drives discussions and solutions towards organizational excellence. · Awareness and implementation of agency bill-ability and utilization guidance and metrics. · Participates in forward planning.
  • Effectively utilizes network dashboards to review project performance and ensure team is meeting critical KPIs. · May participate in new business pitches and network level initiatives.
  • Keeps accurate, organized files of projects past and present as per agency established protocols.
  • Ensures completion of personal and direct report timesheets, expenses, and all other administrative duties accurately and on a timely basis.


Talent Management

  • Manages, motivates, and mentors direct and indirect reports ensuring people, process and policy adherence.
  • Delegates incoming tasks and assignments to the Project Management team, ensuring open communication and timely completion of assigned work.
  • Participates in hiring, staffing, and resourcing conversations. · Interviews potential candidates and ensures smooth onboarding process for new hires.
  • Completes performance review, promotes training and development, and partners with HR on employee relations issues for assigned team.


EDUCATION:

DEGREE/DIPLOMA

  • Bachelor’s

AREA OF STUDY

  • Any area of study

REQUIRED/PREFERRED

  • Preferred


LICENSES & CERTIFICATIONS:

  • Project Management Professional (PMP), Certified Scrum Master (CSM), and/or other relevant certifications a plus but not required.


EXPERIENCE:

MINIMUM EXPERIENCE

  • 6 years

AREA OF EXPERTISE

  • Project Management, Production or Marketing Operations/Administration, or related field. (Required)
  • Pharmaceutical Marketing and Advertising Highly (Preferred)


KNOWLEDGE, SKILLS, & ABILITIES:

Software:

  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, Teams) or equivalent platform. Proficient with Adobe Acrobat, and surface-level understanding of creative tools (Figma, Sketch, Photoshop).
  • Strong knowledge of project management tools (Workfront, Microsoft Project, or equivalent) required.
  • Proficient with financial management tools (e.g., SAP/Fiori or equivalent) required. · Multichannel production knowledge across print, video, and digital (websites, IVAs, emails, banner ads, and congress panels).
  • Strong organizational skills.
  • Strong verbal and written communication skills.
  • Experience managing and mentoring direct reports.
  • Experience leading cross-discipline teams.
  • Strong experience with campaign launch process highly preferred.
  • Financial aptitude.

SALARY:

$100,000 to $130,000

The salary range for this position is noted within this job posting $100,000 to $130,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee’s/applicant’s background, pertinent experience, and qualifications.
