Position Overview:
FedSync is seeking a highly skilled Program Assistant III to support the Office of External Affairs, Office of Chief Counsel, and Office of Policy and Program Development within the FMCSA. This position provides executive-level administrative and program support to over 15 Senior Executive Service (SES) members and Directors. The ideal candidate is proactive, detail-oriented, and experienced in delivering high-quality administrative services in a fast-paced federal environment.
Key Responsibilities:
Arrange all aspects of travel, including preparation of travel orders, transportation and lodging reservations, and post-travel reconciliation within 5 business days, in compliance with FMCSA accounting closeout procedures.
Provide scheduling and calendar management for SES and Directors.
Greet and direct visitors and customers, serving as the first point of contact.
Draft, edit, and review executive-level communications and official correspondence.
Maintain accurate records, logs, and publications; manage message intake and processing.
Provide support for timekeeping, attendance tracking, property, and asset management.
Utilize the E2 travel software tool to manage travel booking and voucher processing.
Monitor and report departmental budgets to executive staff, serving as trusted agents for financial support services.
Ensure all support services meet performance standards of 95-100% quality in areas including accuracy, clarity, timeliness, formatting, and file management.
Qualifications:
Education: High School Diploma or equivalent.
Experience: Minimum of 5 years in a federal administrative or program support role, preferably with executive-level or SES support experience.
Skills & Expertise:
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Familiarity with federal travel systems (E2 Travel) and budget tracking/reporting tools.
Proven ability to multi-task and manage high volumes of scheduling and correspondence.
High level of discretion and professionalism in handling sensitive information.
Exceptional written and verbal communication skills.
Strong organizational skills and keen attention to detail.
Ability to work both independently and collaboratively within a dynamic team environment.
