Key Responsibilities:
Executive Support:
- Manage the COD Director's day-to-day activities, including calendar scheduling, email management, phone calls, and meetings.
- Serve as a proactive delegate for the COD Director, addressing potential conflicts and ensuring seamless operations.
- Monitor and prioritize incoming communications, escalating urgent items as needed via text, call, or email.
- Draft and manage official correspondence with professionalism and accuracy.
Operational Coordination:
- Maintain the organizational action tracker, keeping the team informed of progress and key updates.
- Retrieve and distribute mail and assign leadership actions from executive communications.
- Oversee the COD internal Learning Management System (LMS) processes and recommend updates to Center Procedures.
- Manage office logistics, including furniture, file maintenance, classified materials, and records disposition.
Meeting & Event Facilitation:
- Organize and support COD meetings, events, and visitor coordination.
- Take minutes, document actions, and ensure timely distribution to stakeholders.
- Support Performance Management Reviews, Award Fee Boards, Revitalization Board meetings, and other organizational events.
Property & Travel Management:
- Act as the "Front Office" Property Custodian, managing non-technical equipment and property.
- Assist COD travelers with researching travel options, submitting requests, and preparing expense reports. Ensure compliance with organizational and federal travel policies for domestic and foreign travel.
What We're Looking For:
- Proven experience in executive-level administrative support.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Proactive problem-solver with excellent judgment and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant tools. Experience with Learning Management Systems (LMS) is a plus.
- Familiarity with records management, event coordination, and property administration is preferred.
Qualifications:
- Education: High School Diploma required.
- Experience: 2-4 years of office experience.
Additional Requirements:
- Ability to lift and move items weighing 20 pounds.
- Experience with NASA or similar agency is preferred; active NASA badge is a plus.
- Exceptional verbal and written communication skills.
- Must pass criminal background and drug tests.
