This position is based out of Feeding America’s Chicago or Washington DC offices. At Feeding America, we believe in offering a flexible work environment. Employees can be in the office an average of 2 days a week (when not travelling for work) and work from home on other days. Employees also have access to a 30-day “work anywhere” program during the course of each calendar year that can be combined with PTO and/or holidays.
The Coordinator, Communications and Community Engagement, plays a key role in catalyzing a movement to end hunger in America, by ensuring the smooth running of the Communications and Community Engagement (CCE) department. This essential role provides team-wide administrative, project management and logistical support for the department. Responsibilities include scheduling, making arrangements for and running of key team-wide meetings, events, and activities; using and sourcing relevant online tools and software to aid in the running of the department; developing associated materials and resources for team activities such as briefings and meeting notes, assisting on department-level planning and budgeting processes, supporting projects and activities involving our partner foodbanks and the people we serve; and liaising with other teams to ensure productive collaboration.
Compensation
Salary: $45,000 - $56,000 Based on Experience
Responsibilities:
- Support the planning and running of department-wide meetings and events as needed, including using and sourcing appropriate software, scheduling, logistics coordination, speaker management, managing invites and RSVPs, preparing agendas, ordering supplies and catering, post-event follow-up, and other support functions as needed.
- Provide support with updating, producing, organizing and disseminating department-wide documents, presentations, resources and materials, including team sites (e.g., Sharepoint), editorial calendars, Feeding America language style guide and brand guidelines, newsletter subscription lists, and others, as needed.
- Help track key deadlines and tasks for departmental-level engagement in internal processes such as fiscal year planning and employee reviews.
- Conduct research, prepare summaries, take meeting notes and disseminate to relevant team members.
- Offer creative input and act as logistical point person for department-wide team-building and social activities.
- Assist with other aspects of department operations including external vendor and partner correspondence, tracking key department planning and budgeting processes, contract and letter of intent drafting and processing, payment/invoice processing, and internal communication with other teams at Feeding America.
- Maintain and order supplies and marketing materials for the team.
- Other projects and duties as assigned.
- One to two years’ experience providing administrative support for multiple stakeholders.
- Intermediate to Advanced level of proficiency with Microsoft Office Suite and Outlook applications with the ability to quickly learn other applications.
- Demonstrated experience drafting and editing correspondence, documents, presentations and inter-office communication.
- Experience in a service-oriented capacity where balancing differing stakeholder needs and interests is required.
- Strong organizational skills and ability to meet deadlines while managing multiple tasks and changing priorities. Must be able to respond to time-sensitive matters as well as longer-term initiatives.
- Strong customer service and diplomacy skills.
