POSITION SUMMARY
The Donor Operations Specialist is responsible for accurately and efficiently managing gift entry and acknowledgment processes to support Feeding Tampa Bay’s fundraising efforts. This role ensures the timely recording of donations in the donor database, adherence to data integrity standards, and compliance with financial and regulatory requirements. The specialist collaborates with the development team to reconcile gifts, generate donor acknowledgments, and maintain accurate records to support reporting and stewardship activities. By delivering precise and reliable support, the Donor Operations Specialist plays a vital role in ensuring donor satisfaction and advancing Feeding Tampa Bay’s mission to end hunger and foster lasting community impact.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Accurately enter all donations and related information into Salesforce, ensuring proper coding, allocation, and compliance with organizational guidelines and financial regulations.
- Maintain high standards of data integrity by regularly reviewing, cleaning, and updating donor records, including deduplication, validation, and verification of information.
- Collaborate with the Donor Operations team to produce timely and personalized acknowledgment letters and receipts for all gifts, ensuring donors receive proper recognition.
- Assist in preparing and maintaining gift reports and reconciling donation data with the Finance team to ensure accurate financial tracking.
- Enter and update donor contact information, giving histories, and other relevant data in Salesforce to support donor stewardship and engagement efforts.
- Support the integration of third-party platforms (e.g., Classy, Double the Donation) with Salesforce to ensure seamless data flow and accurate donor records.
- Work with the development team to track and record campaign-related gifts, pledges, and appeal responses in Salesforce.
- Conduct routine audits of Salesforce data to identify and resolve discrepancies, ensuring compliance with data security and privacy policies, with insights from the Assistant Director of Development, Donor Operations.
- Partner with the Assistant Director of Development, Donor Operations, to identify and implement process improvements in gift entry and donor data management.
- Perform additional duties related to donor operations and Salesforce management as assigned.

EDUCATION and/or EXPERIENCE
- Bachelor’s degree or 2 years of experience in donor operations, data management, or a similar role.
- Proficiency in Salesforce, including gift entry, reporting, and database maintenance. Salesforce certification is a plus.
- Familiarity with integrations of third-party applications (e.g., Classy, Double the Donation, or similar platforms) and data migration processes.
- High attention to detail and accuracy in data entry and reporting.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Experience with data integrity practices, including deduplication, validation, and adherence to privacy regulations.
- Strong research skills and a problem-solving mindset, with a focus on innovation and continuous process improvement.
- Understanding of nonprofit fundraising operations and donor stewardship principles.
- Knowledge of financial regulations and best practices related to gift processing and acknowledgment.
- Self-starter with the ability to juggle multiple projects, prioritize tasks, and meet deadlines in a high-energy, fast-paced environment.
- Team player with the ability to work independently, exercise good judgment, and handle confidential information with discretion.
- Flexible schedule with availability to work evenings or adjust hours as needed to meet deadlines.
- Current FTB employees must be in good standing and not subject to any active corrective actions.
