Job Description

In this new career-growth role, the Controller manages within a matrixed organizational structure as the finance point person for a group of programs, contracts, regions, and initiatives. This Controller role is responsible for managing day-to-day general and operations accounting duties including supervising their portion of the accounting team consisting of Receivables Staff, Payroll Staff, and contracted support. This position contributes to the accumulation and consolidation of financial data for financial statements and is responsible for: (1) period-end closings and reporting, (2) general accounting, (3) payroll, (4) grants, (5) site management, and (6) audit oversight.  The Controller reports directly to the CFO/COO and assumes additional special projects/assignments as requested. Key constituents that this role interfaces with include Client Accounts, Programs, Facilities, Human Resources, Information Technology and Development staff.

 

Specific Responsibilities

 

Financial Management

  • Direct and coordinate agency’s financial operations, including Accounts Payable, Payroll, General Ledger (GL), Accounts Receivable, Reconciliations, Collections, Budgeting, Tax Planning, Insurance, Banking and Cash Management.

Period-End Closings and Reporting

  • Maintain and manage the monthly accounting cycle and schedule to ensure timely and accurate posting of recurring and non-recurring GL entries, grant and contract invoicing, and the reconciliation of all GL schedules.
  • Produce and review month end reports for GL entries and reconciliations to medical billing and payroll systems.
  • Review and approve bank account reconciliations to GL.
  • Review and approve investment account and endowment reconciliations to GL.
  • Produce and review period-end financial statements.

General Accounting

  • Manage proper and timely recording of general ledger transactions in accord with GAAP.
  • Ensure the timely processing of transactions and data necessary for the accurate and timely closing of the books and preparation of financial statements in compliance with GAAP.
  • Prepare and submit indirect cost proposals.

Payroll

  • Lead the coaching, mentoring and training of the team; take an active interest in the growth and development the next generation of leaders.
  • Direct the process for full cycle bi-weekly and off-cycle payroll for 500 employees across multiple programs and counties.
  • Lead end-to-end payroll processing, implement compliant controls, and maintain the payroll system.
  • Maintain payroll policies and procedures.
  • Serve as a Subject Matter Expert & point person for the payroll department in resolving complex outstanding issues and managing stakeholder relations on payroll related matters
  • Prepare and create custom reports from payroll vendor, compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Prepare ad hoc reports as needed.
  • Ensure payroll operates in compliance with federal, state, and local legal requirements.
  • Communicate changes and impacts to all stakeholders.

Grants Management

  • Review and approve grant and contract invoicing to ensure compliance with use restrictions and established budgets, including documentation of funded expenditures.

Sites Management

  •  Ensure account reconciliations are documented, reviewed, and completed timely.

Audit Oversight - In conjunction with the Senior Controller, who is accountable for audit oversight,

  • Manage this position’s portion of the internal and external fiscal year-end audits including preparation of forms.
  • Liaise and work closely with external auditors.

Additional Responsibilities

  • Assume other special projects/assignments as requested by the CFO.

Minimum Qualification

The successful candidate should have experiences that include the following:

  • Minimum of a bachelor’s degree in finance, accounting, business administration or related field.
  • Minimum 5 years of progressive experience in Finance/Accounting.
  • Minimum 3 years of supervisory experience.
  • Knowledge of GAAP required.
  • Prior experience with a nonprofit organization in accounting and grant management preferred.
  • Proficiency in Microsoft Office and financial software.
  • Strong analytical skills, attention to detail, and ability to work in a team.
  • Proactive attitude towards process improvement and project management.

Reports to: Chief Financial & Operations Officer

Job Type: Full-Time

Work Schedule: Hybrid

FLSA Status: Exempt

Salary Range: $100,000 to $150,000 Annually (DOE)
