POSITION SUMMARY:
The Administrative Assistant supports daily operations by handling administrative tasks related to the fence process. This full-time role requires exceptional customer service, fluency in English and Spanish, and strong multitasking abilities. Responsibilities include answering phones, managing emails, scheduling jobs, processing contracts and permits, handling accounts payable/receivable, data entry, scanning documents, and communicating with installers and team members. Payroll tasks may be assigned as needed.

PERFORMANCE OBJECTIVES:

  • Answer and direct phone calls professionally, ensuring excellent customer service.
  • Manage emails, ensuring timely responses and follow-ups.
  • Schedule jobs and coordinate with installers and team members.
  • Process accounts payable and receivable accurately and on time.
  • Maintain accurate records, reports, and documentation.
  • Perform precise data entry to keep information up to date.
  • Oversee contract processing, ensuring compliance.
  • Handle full-cycle permitting, including applications, follow-ups, and inspections.
  • Scan, file, and organize documents for easy access.
  • Assist with payroll tasks as needed.

CAPABILITIES / KEY COMPETENCIES:

  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication in English and Spanish.
  • Professional and customer-focused demeanor.
  • High attention to detail in reporting and documentation.
  • Problem-solving mindset with a proactive approach.
  • Ability to work independently and as part of a team.
  • Proficiency in Google Suite and administrative software.
  • Knowledge of accounting principles and payroll is a plus.
  • Understanding of permitting and contract management preferred.

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • 2 years of administrative or customer service experience.
  • Experience in construction, fencing, or wholesale industries is a plus.
  • Bilingual proficiency in English and Spanish required.

PHYSICAL REQUIREMENTS:

  • Ability to work in an office setting with prolonged sitting.
  • Capability to use a computer and office equipment for extended periods.
  • Occasional lifting of up to 25 pounds for document storage and supplies.
