Job Summary: The Project Accountant (Cost and Progress Billing) will be responsible for managing and overseeing financial aspects of specific projects, with an emphasis on tracking project costs, preparing progress billing, and ensuring accurate financial reporting. This role ensures that all project-related costs are monitored and controlled, while also ensuring timely and accurate billing to clients as per project contracts.
Key Responsibilities:
- Cost Management:
- Track and allocate project costs, ensuring accurate recording of expenses and cost of goods sold (COGS).
- Assist in the preparation of project budgets and forecasts.
- Monitor and report on budget variances and provide recommendations for corrective actions.
- Collaborate with project managers and other departments to ensure proper cost allocation and timely resolution of discrepancies.
- Progress Billing:
- Prepare and process progress billing in alignment with project contracts and payment schedules.
- Ensure that progress billing includes all relevant project milestones, materials, labor, and any adjustments as needed.
- Verify and reconcile work completed, costs incurred, and billing rates with project managers.
- Prepare and submit client invoices, ensuring that all documentation (e.g., change orders, backup) is accurate and complete.
- Financial Reporting:
- Assist in the preparation of monthly financial reports related to project performance, including cost-to-completion estimates and revenue recognition.
- Provide project managers and senior leadership with timely and accurate financial information to aid in decision-making.
- Assist in the preparation of year-end audits and ensure compliance with accounting principles and regulations.
- Project Documentation and Compliance:
- Maintain proper documentation of all financial transactions and project records.
- Ensure compliance with all internal controls, accounting standards, and regulatory requirements.
- Manage and organize contracts, change orders, and project-related documents for efficient access and audit readiness.
- Collaboration and Communication:
- Work closely with the project management team, clients, and subcontractors to address financial concerns, discrepancies, or changes to the project scope.
- Liaise with other departments, such as procurement, to ensure timely project deliveries and accurate financial reporting.
Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field.
- Minimum of 3-5 years of accounting experience, preferably in project-based or manufacturing industries.
- Strong knowledge of project accounting principles, cost control, and billing processes.
- Proficiency with accounting software (e.g., QuickBooks, Sage, Oracle, or similar) and MS Excel.
- Experience with contract billing and progress invoicing.
- Excellent attention to detail with strong organizational and analytical skills.
- Strong verbal and written communication skills.
- Ability to work effectively under pressure and manage multiple tasks with tight deadlines.
Desirable Skills:
- Knowledge of construction or project management software (e.g., Procore, Textura, Trimble or similar)
- Experience in managing large or complex projects with a focus on financial control.
- Familiarity with labor cost allocation, material costs, and subcontractor management.
