The law firm of Fenton & Keller is seeking a highly organized and detail-oriented General Administrative Assistant to join our dynamic team. The ideal candidate will provide comprehensive administrative support to ensure the smooth operation of our legal practice. This role requires excellent communication skills, a high level of professionalism, attention to detail, and the ability to handle sensitive and confidential information.
Key Responsibilities:
- Administrative Support:
- Answer and direct phone calls, take messages, and handle general inquiries.
- Schedule and coordinate appointments and meetings.
- Client / Visitor Interaction:
- Greet and assist clients and visitors in a professional and courteous manner.
- Handle client inquiries and direct them to the appropriate personnel.
- Assist in the intake process for potential new clients.
- Document Management:
- Prepare request for new client and/or matter numbers and set up.
- Scan, photocopy, and electronically save and/or physically file documents.
- Maintain a well-organized filing system for legal documents, correspondence, and case files.
- Maintain and update electronic and physical case files.
- Ensure all documents are properly labeled and stored for easy retrieval.
- Prepare physical binders of document materials according to practice area requirements.
- Upload documents into e-discovery software for document organization and filtering.
- Special Projects:
- Work on special projects independently and/or with a team.
- Other Duties:
- Assist with incoming, inter-office, and outgoing mail.
- Assist in maintenance of office supplies.
Qualifications:
- High school diploma or equivalent. Associate or Bachelor's degree preferred.
- Previous experience in an administrative role, preferably in a legal setting.
- Proficiency in Microsoft Office 365 Suite (Word, Excel, Outlook, PowerPoint).
- Proficiency in Microsoft TEAMS.
- Familiarity with legal software and document management systems preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- Discretion and ability to handle confidential information.
- Strong interpersonal skills and a professional demeanor.
Job Type: Full-time
Pay: $22.00 - $28.00 per hour
Expected hours: 40 per week
