The Executive Administrative Assistant is a key partner to the Executive Team, ensuring seamless coordination, communication, and execution of priorities. This highly visible role serves as a hub of organization, managing executive calendars, travel logistics, and confidential correspondence while anticipating needs and adapting quickly in a fast-paced, evolving environment.
Key Responsibilities:
- Act as the primary liaison between the Executive Team and internal/external stakeholders.
- Manage complex calendars and schedules across multiple time zones, adjusting proactively as priorities shift.
- Coordinate detailed domestic and international travel, including flights, accommodation, and ground transportation.
- Greet visitors and represent the Executive Office with professionalism and warmth.
- Handle incoming calls and correspondence, ensuring timely and accurate routing or response.
- Prepare high-quality reports, presentations, and communications with attention to detail and tone.
- Maintain organized, confidential records and documents.
- Partner with other administrative professionals to ensure alignment across departments.
- Lead and support special projects, often with tight deadlines and minimal oversight.
- Proactively identify and solve problems before they escalate.
Qualifications:
- 5–10 years of experience supporting senior executives in a dynamic, high-performing environment.
- Strong organizational, analytical, and anticipatory skills.
- Proven ability to handle sensitive information with discretion.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to adapt quickly to changing priorities and navigate ambiguity with confidence.
- Exceptional written and verbal communication skills.
- High emotional intelligence, tact, and professionalism.
- Ability to thrive in a deadline-driven environment while managing multiple priorities.
- Bachelor’s degree preferred.
