Summary of Position:
  • Provide responsible, independent administrative support to the Associate Provost of Assessment and Accreditation.

  • Provides planning, coordination and/or support for Academic Affairs activities, events and/or associated systems, including but not limited to; assessment, accreditation, academic planning, academic program review, curriculum, catalog management, Perkins grant administration, academic awards, and state authorization.

  • Provides back-up to peers and collaborates with team members in the planning, coordination, and delivery of office functions.

  • Collaborates with faculty, staff, administration, external partners, and vendors.

  • Represents Academic Affairs on various committees.

  • The anticipated start date of this position is May 2025. However, this is an estimated date and can be revised if needed.

  • Required Work Experience:
  • Minimum of two years of work experience in a complex office environment or professional setting.

  • Must have strong computer experience including Microsoft Office programs.

    Additional Education/Experiences to be Considered:
  • Master’s degree preferred.

  • Higher education work experience preferred.

  • Experience working with the following: accreditation, assessment, curriculum, data analysis, faculty, grants, project management, and project research.

  • Essential Duties/Responsibilities:
  • Provide administrative support to the Associate Provost of Assessment and Accreditation.

  • Reports directly to the Associate Provost of Assessment and Accreditation.

  • Demonstrates an understanding of diversity, equity, inclusion and belonging, especially in working relationships with students, faculty, staff, and community members.

  • Support, promote, and develop university student enrollment and retention initiatives.

  • Serve as the primary point of contact for the following systems and provide routine maintenance of accounts; data entry, coordination of activities/processes, preparation of audits, reports, and user guides, develop and maintain record management, and conduct/coordinate training for University personnel.

  • Accreditation (University and programs), Assessment Software, Catalog Software, Curriculum Software, MASU Academic Program Reviews, NSSE, Perkins Grant Management System, State Authorization (NC-SARA, LEO and THECB).

  • Serve as the primary point of contact for a variety of internal/external sources, providing explanations and interpretations of university policies and procedures.

  • Attend and/or coordinate activities in support of the University Curriculum Committee, University Assessment Committee, RAM (Registrar/Academic Affairs/MyDegree), Academic Program Review Committee, HLC Leadership Team, and other committees as assigned.

  • Request data and information necessary to prepare reports, lists, charts and tables.

  • Maintain and update various databases, coordinate distribution of information to various campus constituents.

  • Compose, draft, proofread, and/or edit correspondence, reports, meeting agendas and minutes, presentations, handouts, webpages, and other material. Collect and synthesize information and draft summaries for PCAFs (Preliminary Curriculum Approval Forms) and specialized accreditation site visits.

  • Prepare and process office documents such as purchase orders, equipment/supply requisitions, payment vouchers, PAFs (personnel action forms), Board of Trustee Executive Summaries, and travel related documents.

  • Serves as a liaison between faculty/staff and Associate Provost of Assessment and Accreditation regarding calendar management, meeting/event logistics, problem solving, trouble shooting, navigating processes, and making arrangements as needed.

  • Working in a team-based environment, provide back-up to peers, and collaborate with others in the planning, coordination and delivery of general office functions and events.

  • Work with a variety of confidential documents and confidential issues.

  • Attend meetings as assigned and relevant.

  • Attend conferences when applicable.

  • Any other duties assigned within the position classification area.

  • Marginal Duties/Responsibilities:
  • May supervise student employees.

  • Perform routine functions normally accomplished by other department employees.

  • Handle confidential materials.

  • Operate a variety of standard office machines and equipment ,such as, a computer, multi-line telephone, and multi-function copier.

  • Proficient in Microsoft Office products.

  • Excellent written and spoken communication skills.

  • Strong organization skills including; maintaining records, planning work, prioritizing, etc.
