Field AI is seeking a highly organized Office Manager to oversee the seamless operation of our Mission Viejo, CA office. This new, full-time, onsite role is essential for creating a dynamic, productive workspace for our multidisciplinary team working in robotics and AI. Your contributions will support workplace culture, optimize resources, and foster an environment aligned with Field AI’s mission of innovation. - Optimize office layout to enhance collaboration and communication.
- Maintain an ergonomic, welcoming, and aesthetically pleasing workspace.
- Track office metrics and conduct bi-annual employee satisfaction surveys.
- Technology & Communication
- Manage conference rooms, meeting spaces, and communication tools.
- Implement telepresence and collaboration systems for remote teams.
- Coordinate office events and visitor logistics.
- Security & Access Control
- Oversee security systems, including cameras, badges, and keys.
- Ensure compliance with security and office policies.
- Workplace Operations & Culture
- Track performance metrics and generate reports.
- Optimize seating arrangements to promote collaboration and comfort.
- Conduct ergonomic assessments and training.
- Support safety planning and training, including workers' compensation support.
- Create and manage employee events that support and celebrate our culture, milestones, and "just for fun".
- Food & Catering Management
- Manage daily snacks, drinks, and refreshments, ensuring diverse and healthy options.
- Coordinate catering as needed for meetings and events.
- Daily Operations & Office Maintenance
- Work with contractors to ensure daily cleanliness.
- Mail and delivery management.
- Monitor and adjust lighting, temperature, and workspace aesthetics.
- Budget & Financial Oversight
- Track office costs and collaborate with the financial team on budgeting and forecasting.
- Ensure timely process of office invoices.
- Remote Support & Satellite Offices
- Provide tools and support for remote team members.
- Assist satellite offices with workspace needs.
- Policies & Compliance
- Support office policies related to cleanliness, safety, and equipment management.
- Ensure policies are accessible in both physical and online formats.
- 4 years of experience in office management or operations coordination.
- Demonstrated ability to effectively and professionally manage contractors, vendors, and other third party service providers.
- Strong written and verbal communication skills.
- Proactive and resourceful with excellent problem-solving abilities.
- Proven project management abilities.
- Proficiency in Google Suite, Slack, and other office software.
- High level of accuracy and highly attentive to detail.
- Ability to manage sensitive information with professionalism.
- Experience in a startup environment
- Experience as an executive assistant (to support the leadership and executive team).
- Background working fast-paced settings.

Compensation and Benefits
Our salary range is generous ($70,000 - $300,000 annual), but we take into consideration an individual's background and experience in determining final salary; base pay offered may vary considerably depending on geographic location, job-related knowledge, skills, and experience. Also, while we enjoy being together on-site, we are open to exploring a hybrid or remote option.
