JOB TITLE Receptionist/Office Admin Assistant
PURPOSE The Receptionist/Office Admin Assistant is responsible for maintaining a welcoming first impression for all visitors to our office. Specifically, he/she has primary responsibility for front desk operations, assisting the Office Manager with bookkeeping, facility maintenance and other duties as assigned.
RESPONSIBILITIES
Telephone
- Answer all incoming calls within the first three (3) rings
- Direct callers to appropriate staff members
Visitors
- Greet all guests in friendly, professional manner
- Direct guests to appropriate conference rooms
- Offer refreshments to guests
- Maintain coffee supply in break room
- Maintain and keep clean, visitors waiting area
- Process outgoing mail (certified and regular)
- Sort/distribute incoming mail
- Maintain postage meter funds/supplies/repairs
- Deliver outgoing mail to Post Office at close of business day if runner is not available
Emails
- Route incoming facsimiles to appropriate staff member
- Run conflict checks on potential new clients
Office Supplies
- Maintain/organize/order office supplies as necessary
- Maintain/organize/order kitchen supplies as necessary
- Maintain/organize/order janitorial supplies as necessary
Accounts Receivable
- Prepare daily deposits to operating account
- Receive payments; issue receipts as necessary
- Process credit card payments via phone
Accounts Payable
- Write checks as requested; obtain signature on checks
- Maintain files of check requisitions and bills
Billing
- Draft and forward invoices to attorneys for review monthly
- Correct and send invoices once approved
ORGANIZATIONAL HIERARCHY
The Receptionist/Office Admin Assistant is accountable to the Office Manager. This accountability is maintained through personal contact and monthly meetings. The Receptionist/Office Admin Assistant shall work closely with all staff to maintain team camaraderie and mutual support.
QUALIFICATIONS
The Receptionist/Office Admin Assistant shall be a team player – able to maintain good working relationships with co- workers, supervisor, management, and clients. He/she shall have at least 2 years’ experience in an office environment. A high school diploma is required. He/she shall be detail-oriented and able to multi-task. He/she shall possess a pleasant demeanor. He/she shall possess written and verbal communication skills. He/she shall have basic computer knowledge, including working knowledge of Microsoft Office. He/she shall be willing to learn new computer programs and skills. He/she shall be able to lift a maximum of 40 pounds and sit for an extended period of time.
Job Type: Full-time
Pay: $33,000.00 - $38,000.00 per year
