POSITION PURPOSE:
Supports Specialty Clinic and Orthopaedic staff by coordinating clerical operations, including managing provider and patient schedules, handling phone communications, and organizing meetings and events requiring Orthopaedic staff participation.
QUALIFICATIONS:
- Ability and willingness to provide excellent customer service.
- Excellent communication skills and extensive knowledge of electronic medical records and Microsoft Office.

Essential Job Duties and Responsibilities:
1. Provides staff with administrative skills and support.
- Works with Orthopaedic and Specialty Clinic staff and patients to ensure smooth operations of the clinic.
- Coordinates schedules and activities.
- Coordinates and maintains calendar according to preference for providers.
- Answers phone calls, determines nature of the call and directs the caller to the appropriate individual.
- Receives inquiries and releases information in accordance with established policies and procedures.
- Communicates and collaborates effectively with other health team members regarding patient condition, nursing plan of care, patient satisfactions needs and recommendations for meeting identified outcomes.
- Sends out new patient forms and fills out extra forms.
2. Provides patients with guidance.
- Schedule appointments for new and present patients.
- Retrieve medical records for new patients to ensure completeness of FCH’s medical record.
- Tracks monthly and daily Specialty Clinic census.
3. Performs clinical administrative work.
- Assesses patient concerns over the phone using established protocols to determine visit urgency and appropriate appointment length for scheduling.
- Gathers information to schedule appointments by completing intake form.
4. Follows HIPAA regulations and ensures that the confidentiality of patients medical, personal, financial records, employee records, and organizational records is maintained.
5. Participates in FCH committees, quality assurance, performance and quality improvement initiatives, and activities which support the facility and department operations.
6. Complies with the state and federal regulatory requirements related to the performance of FCH operations and requirements of the FCH Compliance Program. Including but not limited to:
- The Compliance Policy.
- Completes all mandatory on-line training annually and as assigned.
- All department and organization-wide policies.
- Considers the impact of regulations such as Critical Access Hospital requirements, along with Federal and State of Nebraska regulations and discusses concerns appropriately to ensure compliance.
7. Presents self in a professional manner and enhances professional growth and development through participation in education programs, current literature, in-service meetings and workshops.
