Plant Administrative Assistant Job Summary:
We are seeking a detail-oriented and proactive Human Resource/Operations Administrative Assistant to provide essential administrative support to our human resources and operations team in our manufacturing facility. The ideal candidate will have excellent communication skills, the ability to multitask in a fast-paced environment, and strong computer proficiency.
Plant Administrative Assistant Duties and Responsibilities:
- Visitor & Guest Management:
- Greet and manage all guests and visitors entering the facility.
- Oversee multi-door security system.
- Verify guest sign-in and escort them to the appropriate contact.
- Coordinate and direct all employee office visits to serve their needs.
- Administrative Support:
- Answer inbound plant phone calls and direct them to the appropriate personnel or department.
- Schedule interviews and coordinate with candidates and hiring managers.
- Maintain and file purchase orders (POs) and other necessary documentation.
- Contact and coordinate with vendors as needed.
- Process invoices for office supplies and operational equipment, ensuring timely filing and record-keeping.
- HR & Operations Assistance:
- Facilitate applicant walk-in traffic and provide initial screening if required.
- Support HR and Operations leadership with administrative tasks as assigned.
- Assist with translation needs as necessary.
- Maintain confidentiality and ensure compliance with HR policies and safety regulations.
- Additional Duties:
- Handle other responsibilities as assigned to support the smooth operation of HR and administrative functions.
Plant Administrative Assistant Experience & Education:
- High school diploma or equivalent (or G.E.D. or high school equivalency diploma)
- Some college coursework or additional certifications in HR or Business Administration is a plus.
- 3 years of experience in an administrative role within a manufacturing or industrial environment, preferably with HR and safety exposure.
- Bilingual proficiency in Spanish is preferred.
- Experience using multi-line phone systems is a plus.
Plant Administrative Assistant Skills & Abilities:
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint).
- Strong organizational skills with the ability to manage multiple priorities effectively.
- Excellent professional and effective phone communication and etiquette.
- Ability to type 55 WPM with accuracy.
- Strong problem-solving abilities and a proactive mindset.
