Regional Office Manager Job Summary:
We are seeking a detail-oriented and proactive Regional Office Manager to oversee and optimize inventory processes, financial reviews, office management training, and operational efficiency across multiple locations. The ideal candidate will be responsible for reviewing reports, ensuring data accuracy, facilitating effective communication between departments, and implementing best practices in inventory and office management.
Regional Office Manager Duties and Responsibilities:
Inventory and Data Management:
- Conduct Monday AM Web Customer Report reviews, ensuring accuracy and matching data between AS400 and Web.
- Monitor web orders daily for fraud detection and ensure proper order release.
- Review negative inventory and adjust discrepancies.
- Oversee cash drawer reports to maintain financial accuracy.
- Adjust inventory for nuts, bolts, and all adjustment sheets from Ag Spray locations.
- Schedule and lead inventory meetings, reviewing variance reports before locations roll over.
- Perform quarterly bin location reviews for all Ag Spray locations to ensure proper categorization.
- Regularly review open orders, purchase orders (POs), transfers, and work orders for accuracy and efficiency.
- Manage EOP codes and reports, ensuring correct order qualifications and term adjustments.
Office Management & Training:
- Maintain up-to-date training documents, instructions, maps, and forms.
- Train, evaluate, and provide follow-ups for new hire office managers and other relevant positions.
- Assist in interviewing office managers for new locations.
- Conduct annual customer account reviews, ensuring correct categorization, tax codes, and active status.
- Review and update the phone directory as needed.
- Supervise report subscriptions and coordinate IT adjustments.
- Facilitate communication between locations and Fimco to ensure proper notification of updates and issues.
- Conduct periodic location visits to verify compliance, gather feedback, and ensure operational efficiency.
Financial & Reporting Responsibilities:
- Generate and distribute AR Aging Reports to office managers, location managers, and AR teams.
- Follow up on AR reports for account notes and payment status.
- Consistently review supply costs for office, cleaning, and shipping, ensuring cost-effectiveness.
- Manage Norwesco price sheet updates and oversee other price sheet updates.
- Assist in special projects, reporting, and presentations for management and key customers such as Simplot, Helena, and Nutrien.
- Ensure proper usage of shortage reports and monitor unit validation in open orders.
System & Process Optimization:
- Monitor standard AS400 processes across locations, ensuring proper execution of credit memos, price corrections, and warranty tickets.
- Verify proper receiving processes, ensuring reports are utilized for backorders and bin locations.
- Ensure timely acknowledgment of POs within 24 hours.
- Manage work order processes, ensuring inventory is moved and completed promptly.
- Serve as the primary liaison between Fimco and Ag Spray.
- Report and track IT issues related to AS400, providing detailed documentation.
- Participate in testing new AS400 changes in test mode before full implementation.
- Oversee Ariba order management and site information for Simplot orders.
Regional Office Manager Education and/or Experience:
- Bachelor’s degree in Business Administration or related preferred
- 5 years experience in inventory management, financial reporting, and office administration.
- Experience with AS400 or similar ERP systems is preferred.
Regional Office Manager Skills and/or Abilities:
- Strong analytical and problem-solving skills with an eye for detail.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Ability to train, manage, and evaluate employees effectively.
- Proven ability to manage multiple responsibilities and meet deadlines.
Regional Office Manager Work Environment & Location:
This role is based at our Columbus, Nebraska location and requires periodic travel to various locations for site visits, training, and audits.
