Position: Donor Relations Specialist
- Location: Colorado Springs, CO (On-site)
- Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Flexible)
- Reporting to: Sr. Director of Philanthropic Partnerships
- Salary Range: $40,000 - $65,000 DOE
The Donor Relations Specialist will play a crucial role in engaging and supporting donors through excellent customer service, donor stewardship, and data management. This position requires strong communication skills and the ability to maintain high standards in donor satisfaction.
What you will be doing as the Donor Relations Specialist
Customer Service (CX)
- Manage the donor CX database (Gorgias) to ensure inquiries are handled efficiently.
- Respond to donor phone and email inquiries within designated 24 to 48-hour timeframes.
- Monitor donor support channels during major livestream events and peak seasons, adjusting to increased demand.
- Assist with refund requests and failed transactions, ensuring seamless donor support.
- Update CX database macros and prepare auto-responses for upcoming donor communications.
- Maintain donor confidentiality and adhere to data privacy policies.
Data Management
- Assist in managing the Customer Relationship Management (CRM) database.
- Update donor records and manage requests, including modifying donations, updating contact details, and managing subscriptions.
- Work with the Development Data Manager to generate targeted donor lists for events and outreach.
Development & Administrative Support
- Coordinate donor stewardship mailings and ensure timely thank-you correspondence.
- Assist in generating thank-you letters for major donations and assigning gift-related tasks.
- Provide event support, including marketing materials preparation, RSVP management, and logistics coordination.
- Track and replenish development supplies, including note cards and event materials.
- Address donor inquiries with professionalism, empathy, and efficiency.
General Tasks
- Maintain up-to-date documentation of CX policies and procedures.
- Support gift processing by printing and mailing receipts as needed.
- Serve as a backup for office deliveries.
- Continuously evaluate workflows to enhance efficiency and data integrity.
What you will need to be successful as the Donor Relations Specialist
- Bachelor’s degree or five years of related experience.
- Prior customer service experience (required).
- Experience with CRM systems (preferred).
- Proficiency in Microsoft 365.
- Strong strategic thinking and problem-solving skills.
- High attention to detail and ability to handle multiple donor interactions efficiently.
- Exceptional verbal and written communication skills.
- Active listening skills with a compassionate and empathetic approach to donor interactions.
