Virtual Office Assistant to provide scheduling, billing, and administrative support Monday to Friday (day shift) for a growing teletherapy group practice. The Virtual Office Assistant will support our therapists and clients by handling a variety of administrative tasks to ensure efficiency and caring service. PLEASE NOTE: This position is for Washington State applicants only.

TIME EXPECTATION: 5-10 hours per week.
About The Position
- Manage Intake email communication, phone calls, and voicemails while maintaining a warm and empathetic tone.
- Check insurance benefits for new and established clients, ensuring accurate and thorough collection of insurance information and documenting to support action on insurance charges or referral issues.
- Sending claims to insurance, following up with insurance companies regarding claims/billing issues, and communicating effectively to problem solve issues.
- Assist with invoicing and tracking client payments, such as co-pays and deductibles, in an efficient and timely manner.
- Manage intake paperwork collection and ensure (Electronic Health Record) EHR files are accurate and complete.
- Assist with content creation and scheduling posts for mental health awareness and educational campaigns.
- Attend mandatory staff meetings and trainings as directed by Kirkland EMDR Counseling
- Adhere to office policies and procedures as stated in the Operations Manual.
- Passion for working with others (being collaborative) and helping our team members grow and learn.
- Other duties as assigned.
- Currently residing in Washington State.
- Align with Kirkland EMDR Counseling’s Mission, Vision, and Values.
- Ability to communicate and write in Spanish [OPTIONAL]
- Associate’s degree in health administration or related field AND a minimum of one (1) year experience in a physician’s office or similar; with experience using Electronic Health Records (EHR) and working with other software programs at the same time. OR
- High School Graduate or equivalent (GED) AND a minimum of (2) two years experience in a physician’s office or similar; with experience using EHR systems and working with other software programs at the same time.
- Skilled in navigating third-party payer and insurance portals to efficiently verify coverage, eligibility, and benefits, ensuring timely and accurate processing of claims.
- Familiar with medical billing, insurance portals, and terminology–including CPT, HCPCS, and ICD10 coding.
- Experience with systems such as OneHealth Port, Availity, NPPES, CAQH.
- Familiar with credentialing with insurance and supporting providers with the credentialing process.
- Proficient in personal computers and software programs such as Google Workspace and EHR systems (such as Sessions Health, Simple Practice, or TherapyNotes, etc.).
- Knowledge of HIPAA regulations and experience handling sensitive client information securely.
- Be able to work responsibly and independently in a virtual setting.
- Strong research, problem-solving, and task prioritization skills, with attention to detail and follow through.
- Capable of assessing and organizing protocols, policies, and guidelines.
