Position Summary: The Accounts Payable Specialist supports the accounting and finance department by handling administrative and clerical tasks related to invoice processing and payments. This includes approving checks and updating the vendor file. The Accounts Payable Specialist collaborates closely with the finance team to ensure accurate and timely financial data entry and reporting.
Essential Job Functions:
- Accurately enters financial transactions, including invoices, payments, receipts into the accounting system or software.
- Ensures timely payments of invoices, ensures no duplicate payments and verification of vendor changes.
- Primary contact for vendors and internal questions, researching discrepancies.
- Assists in maintaining the general ledger by properly categorizing transactions.
- Maintain electronic vendor files – including accurately inputting information from vendor W-9’s.
- Provides documentation and assistance during internal and external audits.
- Assist with credit cards and expense reports processing.
- Assists with administrative duties such as filing documents, organizing financial records, and maintaining orderly accounting files.
- Assists with month end closing accruals.
- Ensures compliance with accounting principles, regulations, and company policies.
- Regular attendance at the FineMark location designated in this job description, during regular business hours, or assigned hours for the position, is required. This is not a remote-work position.
- Other duties as assigned by management.
Education, Skills, and Experience:
- Minimum of two years of experience in accounting or an associate degree in accounting required or a bachelor’s degree in finance.
- Understanding of basic bookkeeping and accounting principles.
- Ability to manage accounting figures and financial records.
- Proficient in data entry.
- Experience with spreadsheets and accounting software.
- Proficiency in MS Office.
- High attention to detail and accuracy.
- Good written and verbal communication skills are necessary for interacting with colleagues, vendors, and customers.
- Upholding ethical standards and maintaining the confidentiality of financial information.
