Position Summary:

The Office Support Specialist is responsible for performing a variety of administrative and clerical duties to support daily school operations. This role requires proficiency in data entry, document management, customer service, scheduling, and virtual communication tools. The ideal candidate will be tech-savvy, highly organized, and able to work independently in a remote setting.

Key Responsibilities:

Administrative & Clerical Support:

  • Perform data entry and maintain accurate records, reports, and databases.
  • Manage email correspondence, document filing, and virtual office organization.
  • Draft and edit reports, memos, and official communications.
  • Assist with processing invoices, purchase orders, and other administrative paperwork.
  • Handle confidential information with discretion and professionalism.

Customer Service & Communication:

  • Provide excellent customer service by responding to emails, phone calls, and online inquiries in a timely manner.
  • Act as the first point of contact for parents, staff, students, and external partners.
  • Assist with school enrollment processes, student records management, and document requests.
  • Collaborate with internal departments to ensure smooth communication and efficient workflow.

Scheduling & Calendar Management:

  • Maintain and update school calendars, scheduling appointments, and organizing virtual events.
  • Coordinate meetings, training sessions, and administrative support for staff.
  • Track deadlines and ensure timely completion of tasks and projects.

Technology & Office Management:

  • Utilize Microsoft Office Suite, Google Workspace, and other productivity tools for daily tasks.
  • Troubleshoot basic technical issues related to remote work setup and software applications.
  • Ensure all office-related tasks are completed efficiently and meet district guidelines.

Required Qualifications:

  • High School Diploma or GED (Associate's degree preferred but not required).
  • Minimum 1-2 years of administrative support or office assistant experience.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace (Docs, Sheets, Drive, Gmail).
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote setting while maintaining productivity and efficiency.
  • Detail-oriented with strong problem-solving abilities.
  • Comfortable handling sensitive and confidential information.

Preferred Qualifications:

  • Experience in K-12 school administration, education sector, or non-profit organizations.
  • Knowledge of student information systems, data entry platforms, and virtual scheduling tools.
  • Previous experience in customer service, office coordination, or clerical support roles.
  • Familiarity with project management software like Asana, Trello, or Monday.com.

Pay: $20 - $35 / hour
