Customer Service Representative
Position Overview:
The Customer Service Representative will serve as the first point of contact for incoming customer inquiries and leads while assisting with administrative and office support tasks. This role is crucial to our customer experience, lead management, and day-to-day office functions.
Key Responsibilities:
Customer Service Duties:
- Answer and Direct Calls: Respond to incoming phone calls, provide information, and direct calls to the appropriate departments.
- Lead Management: Handle incoming leads from phone calls, emails, and digital platforms, ensuring timely follow-up and proper documentation.
- Appointment Scheduling: Coordinate customer consultations, roof inspections, and service appointments.
- Follow-Up: Ensure customer inquiries and concerns are resolved promptly and professionally.
- Customer Records Management: Maintain accurate and up-to-date customer and project information in the company’s CRM system.
Office and Administrative Duties:
- Administrative Support: Assist with general office tasks, such as filing, data entry, and order processing.
- Material Orders: Coordinate with vendors and suppliers for materials as needed.
- Documentation Management: Maintain organized records of customer interactions, appointments, and project updates.
- Billing and Invoicing Support: Assist with generating and sending invoices or processing payments.
- Office Supply Management: Monitor office supply levels and place orders as necessary.
Qualifications:
- High school diploma or equivalent (associate’s degree preferred).
- 1-2 years of experience in customer service, office administration, or a related field.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and CRM software (experience with roofing or home services CRM systems, Acculynx, Service Titan, etc. is a plus).
- Organized and detail-oriented with the ability to manage multiple tasks efficiently.
- Positive and professional attitude with strong problem-solving skills.
- Experience in construction, roofing, or home services is preferred but not required.
