Key Responsibilities
Event and Tradeshow Coordination
* Plan, coordinate, and execute a wide range of events, including trade shows, conferences, webinars, and customer-facing events.
* Handle event logistics, including booth design, setup, shipping, staffing schedules, and vendor management.
* Manage event registration, promotional materials, and attendee communications.
* Act when necessary as the primary on-site contact to ensure smooth event execution, including setup, teardown, and troubleshooting.
* Track event budgets and ensure projects stay within financial parameters.
Cross-Functional Collaboration
* Work closely with marketing managers to align events with overall marketing strategies and goals.
* Partner with sales teams to ensure event leads are captured, organized, and distributed effectively.
* Collaborate with product leadership to ensure messaging and presentations are aligned with product goals and strategies.
* Coordinate internal resources to develop event collateral, including signage, presentations, and giveaways.
Logistics and Operations
* Manage event timelines, vendor contracts, and shipping schedules.
* Maintain event inventory, including booth materials, promotional items, and collateral.
* Ensure compliance with all event-related deadlines, including registrations, deliverables, and payments.
* Ability to lift and transport event materials (up to 50 pounds) during setup and teardown.
Performance Tracking & Reporting
* Track and evaluate event performance metrics, including attendance, lead generation, and ROI.
* Provide post-event reports with actionable insights to improve future events.
* Assist with follow-up campaigns and lead-nurturing activities post-event.
Qualifications
Required Skills & Experience
* Bachelor's degree in Marketing, Event Management, Communications, or a related field.
* 3 years of experience in event planning, tradeshow coordination, or related roles.
* Strong organizational skills with exceptional attention to detail.
* Excellent written and verbal communication skills.
* Ability to work effectively in a collaborative, cross-functional team environment.
* Proficiency with event management tools (e.g., Cvent, Eventbrite) and Microsoft Office Suite.
* Must be able to lift and transport materials up to 50 pounds.
Preferred Skills
* Experience with CRM tools (e.g., Salesforce) and marketing automation platforms (e.g., HubSpot, Marketo).
* Familiarity with virtual event platforms such as Zoom, GoToWebinar, or ON24.
* Basic knowledge of design tools like Canva or Adobe Creative Suite.
Location: Hybrid - Santa Ana, CA (3 days in office/2 days WFH)
The pay range for this role is $62,700.00 - $83,600.00
This hiring range is a reasonable estimate of the base pay range for this position at the time of posting. Pay is based on a number of factors which may include job-related knowledge, skills, experience, business requirements and geographic location.
