What are the responsibilities and job description for the Administrative Assistant position at First Baptist Church Summerfield?
Principal Function:
The administrative assistant is responsible for performing secretarial and administrative duties related to the programs and ministries of the church.
Specific List of Responsibilities for Administrative Assistant:
- File correspondence and other assigned materials.
- Act as receptionist, make appointments, and receive visitors.
- Receive and distribute mail.
- Prepare baptismal certificates and make sure notices are sent to the candidates
- File letters, sermon materials and misc. materials for the Pastor.
- Keep church staff informed of deaths, illnesses, and other needs of the membership.
- Keep up-to-date record of the Pastor’s calendar and church calendar and schedule.
- Receive telephone calls and forward messages to the appropriate staff member.
- Coordinate and send reminders of various meetings.
- Prepare and send out community saturation flyers, etc.
- Order all supplies for administrative offices.
- Keep record of all new converts and members, adding to newsletter mailing and maintain the church role.
- Coordinate and record reservations for vehicle usage.
- Coordinate and record reservations for use of the church facilities.
- Prepare printed materials, including, but not limited to bulletins, newsletters, workbooks, etc.
- Provide administrative assistance to other church staff members & ministry leaders.
- Prepare and maintain annual reports minutes from business meetings and other special projects as directed by the Pastor or Sr. Associate Pastor.
- Perform any other administrative duties as requested by the Senior Pastor.
Knowledge and Skill Requirements:
· Must be proficient in computer software. For example: Microsoft Outlook, Word, Excel, PowerPoint, and Publisher.
· Must have desktop publishing skills and be familiar with desktop publishing (Publisher, Adobe Suite, etc).
· Should be familiar with, or willing to receive training, using Planning Center Online (church management software).
· Must be well organized in work habits and able to focus on more than one task at a time.
· Must exhibit flexibility and ability to maintain a good attitude amid change.
· Must exhibit strategic, administrative, and organizational skills congruent with expectations of the job.
· Must have good relational skills in working with and coordinating the work of multiple staff persons and groups.
· Must have excellent communication skills that guarantee effective oral, written, face-to-face, and digital communication to various groups and individuals.
· Must demonstrate a Christian character and attitude to all members, guests, visitors, etc.
Education Requirement:
· Minimum of High School diploma
Job Type: Part-time
Pay: $35,000.00 per year
Expected hours: 28 – 32 per week
