  • Receptionist Duties:
  • Greet and assist visitors, clients, and vendors in a professional and courteous manner.
  • Answer and direct phone calls, ensuring clear communication between departments and external contacts.
  • Manage and maintain the front desk area, ensuring it is organized and presentable at all times.
  • Handle incoming and outgoing mail, packages, and other deliveries.
  • Administrative Support:
  • Perform general office duties, such as filing, data entry, and maintaining office supplies.
  • Assist management with preparing reports, presentations, and correspondence.
  • Coordinate and schedule meetings, conference calls, and appointments for team members.
  • Act as a liaison between departments to ensure efficient communication and execution of tasks.
  • Purchasing:
  • Assist with purchasing supplies and materials, ensuring timely orders are placed to maintain inventory.
  • Communicate with vendors to verify product availability, pricing, and delivery schedules.
  • Software Development Assistance:
  • Support the software development team by assisting with documentation, testing, and data management.
  • Help track software development progress using project management tools (such as Monday.com) to manage timelines, deadlines, and deliverables.
  • Provide support in organizing and maintaining project files, issue tracking, and software deployment tasks.
  • Order Entry & Customer Support:
  • Process customer orders accurately and efficiently, ensuring proper documentation is maintained.
  • Enter orders into the company’s ERP or order management system (Monday.com).
  • Coordinate with the shipping department to ensure timely order fulfillment and delivery.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent required; associate’s degree or higher in business administration or a related field preferred.
  • 2 years of experience in an administrative or receptionist role, preferably in an industrial or manufacturing setting.
  • Experience using project management software like Monday.com to track tasks and project timelines, order fulfillment, etc.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with ERP or order management systems and basic purchasing processes.
  • Experience in providing administrative support to software development teams is a plus.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving ability.
  • Ability to maintain confidentiality and professionalism at all times.
  • Previous experience in a customer-facing role or order entry is preferred.

Job Type: Full-time

Pay: $16.00 - $20.00 per hour

Expected hours: 40 per week
