JOB DESCRIPTION
POSITION: Executive Assistant - Ministers
POSITION PURPOSE: Support the ministries of First Christian Church (FCC) by assisting in the work of the church office with specific attention to supporting the work of the ministers.
JOB CLASSIFICATION: Part-time ( /- 24 hours). Serves with the support and supervision of the ministers and Personnel Committee.
COMPENSATION: $18-20/hour, commensurate with experience
QUALIFICATIONS: High school diploma or equivalent, computer skills, effective communication skills, friendly and outgoing personality, organizational skills and ability to respond to requests effectively and efficiently.
COMPUTER/OFFICE MACHINE EXPERIENCE: Must be proficient in Microsoft 365 office to include Excel spreadsheets and Word documents. Google format for email, calendars and share drives. Experience with copiers, printers and multi-line phone operation.
PHYSICAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
JOB RESPONSIBILITIES:
- Assist Senior Minister and Associate Minister in the day-to-day ministry of the church. Responsibilities include scheduling meetings, telephone calls, emails, correspondence, maintaining files, preparing materials for meetings.
- Attend weekly Staff Meeting
- Worship Bulletins - select artwork for Sunday bulletin cover; produce worship bulletin for service in coordination with ministers. Xerox bulletins and prepare with any inserts if necessary. Produce worship bulletins for all special services including funerals.
- Xerox hymns for Chancel Choir.
- Maintain Prayer Lists in Bulletin and Messenger. Send prayer requests to Elders as needed.
- The Messenger: managing editor of the weekly newsletter. Create, copy find artwork, prepare final draft with articles and announcements from various staff members and groups. Xerox paper copies, email electronic copies. Coordinate volunteers to prepare for delivery to post office. Prepare paperwork for USPS.
- Funerals: coordinate with ministers, family and funeral home. With ministers determine family needs and wishes in terms of reception/meal, coordinate needs with hospitality team, audio/visual team, organist, soloists, choir/music.
- Coordinate with office staff in sending emails and "one calls" to groups; Elders, Deacons, Administrative Board as needed.
- Maintain membership database. Including attendance records when available, and visitor information as needed. Add new members and give new members materials they need such as church directory.
- Record attendance and Sunday School attendance.
- Compile and maintain lists of Administrative Board members. Communion teams, Fellowship Groups, Committees, Elders and Deacons.
- Prepare materials for Administrative Board Meetings - copies of agenda, minutes, financial reports, Clerk's report.
- Provide support to Leadership Call Team - prepare notebooks and nomination forms, distribute nomination boxes, etc.
- Coordinate with Administrative Board Secretary to prepare annual Administrative Board notebooks with contact list and materials.
- Other duties as assigned by Personnel Committee.
