Basic Qualifications
Education/Training: High School Diploma or equivalent.
Skill(s): Communicates clearly in English; proficient reading, writing, grammar, proficient interpersonal relations and communication skills; proficient organizational skills; working knowledge of loan file requirements and maintenance; proficient PC skills including Microsoft Office and ability to learn job-specific software; visual and auditory skills.
Experience: A minimum of one (1) year of related experience required.
General Responsibilities
Responsible for performing various duties to support loan file management; coordinating work within the department, as well as with other departments; reporting pertinent information to the immediate supervisor; responding to inquiries or requests for information.
Essential Duties
- Tracks and maintains knowledge of location of all loan files.
- Organizes and maintains all files in alphabetical order.
- Pulls files as requested.
- Retrieves documents and/or files as needed for Lending, Credit, and Loan Administration Departments.
- Files all emails, approvals, documentation, and other correspondence into credit files/collateral.
- Scans and indexes new loans and changes terms as loans close as well as partial or paid off loans.
- Follows up on weekly missing Multiple Collateral with title companies, attorneys, etc. as necessary.
- Follows up on weekly UCC to be continued and continue as necessary.
- Facilitates recording and cancellation of mortgage documents.
- Records mortgages, assignments of rent and lease, and UCCs on various county websites.
- Performs daily review of all county websites for completed recorded documents.
- Prepares mortgages and partial releases for loans that are paid off within 30 days of payoff; updates log.
- Prepares paid off loan packages for borrowers.
- Collects and copies required documentation for loans to be pledged to the FHLB.
- Boxes paid loan files for storage; updates log.
- Coordinates specific work tasks with other personnel within the department as well as with other departments in order to ensure the smooth and efficient flow of information.
- Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of harassment and other forms of illegal discriminatory behavior in the work place.
- Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the Bank's compliance with all regulatory requirements.
- Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate Bank personnel.
- Responds to inquiries relating to his/her particular area, or to requests from customers, other Bank personnel, etc., within given time frames and within established policy.
