The Loan Operations, Document Management, and Reconciliation Support Specialist will Assist Loan Operations - Loan Servicing and Collateral Management Departments. They will provide support to the branches and customers. They will provide general back-up as needed within the Document Management and Reconciliation areas.

Duties And Responsibilities

Loan Operations

  • Coordinate obtaining, tracking, follow-up, and storage of collateral documents.
  • Assist with researching issues regarding collateral files and documents.
  • Assist Legal Department with subpoena and research requests
  • Work up courier and FedEx boxes and disburse.
  • Provide support to departments within the Bank relative to collateral/insurance documents as needed.
  • Log in/out loan files to OPUS system.
  • Make a daily vault trip to deliver and file new loan files and pull closed loans per email from JHA Know.
  • Work incoming missing documents to identify documents for indexing.
  • Perform necessary procedures to perfect collateral types including Deed of Trust, Assignment of Rents, Lienholder Statement (WV), DMV titles, Uniform Commercial Codes, etc.
  • Backup to daily review of loan maintenance for accuracy to core.
  • Assist with pulling tax tickets and researching delinquent taxes/insurance.
  • Assist with department special projects.
  • Pull over and import new loans to OPUS program. Print labels. Move e-sign loans on Loan Operations tracking and give folders to Collateral Management Department to check in with loans files to go to Bluefield vault.
  • Perform quality control of paid out files on Synergy and report discrepancies to Document Management.
  • Assist with payment posting as necessary.
  • Work Track-Its assigned to Loan Operations.
  • Backup to preparation of daily reconcilements and upload to Synergy timely for review.
  • Assist internal as well as external customers in a timely and professional manner.

Document Management

  • Prepare deposit, loan, customer, and department specific documents for the imaging process.
  • Remove non-essential materials and organize documents according to business process.
  • Import electronic/scan documents into the electronic imaging system.
  • Analyze electronic documents for image quality, clarity, and rotation.
  • Index documents to their respective cabinets within the electronic imaging system.
  • May assist internal departments with imaging according to their business need.
  • Assist with special imaging projects.
  • Monitor Track-It for work orders assigned to Document Management and complete promptly.

Reconciliation

  • Prepare daily reconcilements and upload to Synergy timely for review.
  • Give assistance to employees on outstanding items and how to clear the items.
  • Alert supervisor of any unusual reconciling items that need attention.
  • Assist with department special projects.

Miscellaneous

  • Complete training, as assigned, within the expected timeframes.

Requirements

  • High school diploma or equivalent
  • Demonstrated proficiency using banking platforms and common office software and systems
  • Strong verbal and written communication skills
  • Ability to meet deadlines while working independently
  • Strong attention to detail
  • Ability to define goals and objectives, organize work, and successfully manage completion of tasks to achieve pre-defined goals and objectives
  • Ability to travel, occasionally overnight
  • Ability to sit in front of a computer for extended periods of time
  • The salary range is based on market data associated with the position and where the pay rate falls within the range is commensurate with experience, education, and other qualifications.
