About the Role
Provides administrative support and tasks for the SVP of Marketing, Communication and Strategy, along with areas within the reporting structure. Coordinates and monitors progress for various programs, events, sponsorships and scholarships. Develops and maintains appropriate tracking and ensures effective communication.
Job Duties and Responsibilities
- Provides a wide variety of administrative and staff support services, including the coordination of assigned programs, projects, agendas/presentations, communications, travel itineraries and arrangements, schedules and/or processes for department.
- Handles sensitive and confidential records, maintains files and retrieves corporate documents, records and reports, expenses and ensures accuracy and appropriate follow-up.
- Supports the coordination of strategic planning and budget preparation, personnel and facilities to aid executive management.
- Conducts research, gathers data, compiles information and prepares documents for consideration and presentation by executives and committees.
- Reviews and analyzes operating practices and procedures to determine and recommend improvements to workflow, reporting procedures and/or expenditures.
- May serve as administrative liaison with others within and outside the company related to facilities use, purchasing of items, and management of logistics associated with assigned duties.
- Manages the full process for corporate donation and sponsorship requests. Coordinates and prepares briefings for executive reviews. Supports the transition of approved requests to contract phase and monitors progress. Maintains accurate tracking and databases as applicable.
- Coordinates scholarship program by preparing applications for the review process. Communicates with applicants throughout the selection process. Requests and disburses checks to the appropriate schools.
- Supports the setup, planning and coordination of programs, events, meetings, and/or conferences to include; scheduling, facilities, catering, issuing information and/or invitations, monitoring RSVPs, and coordinating agendas, executive attendance, speakers, and budget/GL alignment.
Skills and Qualifications
- Exceptional verbal and written communication skills.
- Strong organizational skills with the ability to multi-task and manage simultaneous high priority projects and tasks while maintaining a high degree of confidentiality.
- Ability to work independently with strong attention to detail.
- Strong computer skills and demonstrated experience with various computer programs.
- High school diploma or equivalent is preferred.
- A minimum of 3 years of progressively responsible administrative experience, preferably in a banking or financial organization.
