Position Title: Administrative Support Specialist
Purpose of the Position: This position will be responsible for coordinating all office affairs of First Presbyterian Church (FPC), including scheduling and daily task distribution to all volunteer office workers. Additionally, this position will work closely with the Director of Operations and other staff members in a support role to help them achieve ministry success.
Designation of Exempt or Non-exempt: Non-exempt.
Anticipated Days and Hours Worked: Part-time (20 hours/week).
Supervisor’s Title: The Administrative Support Specialist reports directly to the Director of Operations (DO). This individual will also work closely with the Lead Pastor/Head of Staff and Clerk of Session.
Rate of Pay: Hourly, $20-$23/hour.

· An associates or undergraduate degree in Business Administration (or equivalent) preferred.
· Great attention to detail and organization demonstrated through previous job experience.
· Excellent oral and written communication skills.

· A committed team player who sees their job as a ministry and support function to staff and FPC covenant partners, committee chairs and Session.
· Demonstrated proficiency in Microsoft Office with basic computer knowledge and skills.
· Ability to receive instructions from the DO and execute the plan in an efficient, timely and complete manner.
· Ability to maintain confidentiality of both staff and covenant partners.
· Ability to work independently and without close supervision.
· Possess a track record of timely dependability in previous jobs.
Job Duties: Following are the areas of responsibility for the Administrative Support Specialist:
Oversight of daily office operations:
· Assign and monitor daily work projects of office volunteers.
· Answer the telephone and/or office doorbell in a swift and courteous manner. Distribute messages to the appropriate person in a timely manner.
· Keep abreast of the comings/goings of office staff to know their availability should someone inquire about seeing/talking to them.
Production/Distribution of Session packets:
· In conjunction with the DO and Financial Administrator, prepare packets monthly for Session meetings. This includes preparing a ‘draft agenda’ for Lead Pastor approval, collecting all committee reports and disseminating all packets to appropriate staff and Session members.
· Obtain minutes from Session meetings from the Clerk of Session and prepare them for review and distribution to the appropriate persons.
Other duties as assigned:
· Oversee staff birthdays and initiate recognition of birthdays with a card, gift card and recognition during staff meetings.
· Oversee the production of the monthly covenant partner birthday list to the persons responsible for disseminating this information.
· Keep track of office supplies and re-order as necessary.
· Keep track of printer cartridges and re-order as necessary.
· In conjunction with the DO, add and update events scheduled on the church calendar.
· Assist covenant partners with needs and direct them to the appropriate staff person.
· Maintain/update information for the church directory and membership database via REALM.
· Oversee the office copier and schedule maintenance when needed.
· In conjunction with the DO, plan and coordinate quarterly staff/spouse outings.
· In conjunction with the DO, take care of any travel arrangements for pastoral staff and for staff/covenant partners attending the annual ECO gathering.
· In conjunction with Local Missions, help with requests for assistance.
· In conjunction with the DO and pastoral staff, help schedule baptisms, weddings and funerals, making sure they don’t conflict with the church calendar.
· Coordinate staff time off requests, insuring adequate coverage for Sunday mornings and other church events.
· Receive packages from Amazon, USPS, UPS and others and make sure they are taken to the appropriate staff person.
· Assist the DO and other staff as needed with additional tasks and requests.
