Job Overview:

We are seeking a full-time experienced Landscape and Facilities Maintenance Coordinator to support the General Manager in overseeing landscape and general maintenance operations. This role is key to ensuring that daily maintenance tasks, work order requests, and special projects are completed to the highest standards by our contractors. The ideal candidate will play a vital role in maintaining service excellence and client satisfaction.

Compensation: $26-28/hour

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:
  • Review and distribute daily work orders to the landscape contractor team efficiently.
  • Address homeowner concerns through regular property inspections, ensuring contractors deliver quality work.
  • Follow- up on work orders to ensure timely completion and quality of work.
  • Review monthly work order reports. Send out bi-weekly maintenance work order reports, to contractors, highlighting open work orders that need to be completed.
  • Report any deficiencies to the landscape supervisors and irrigators for timely correction.
  • Monitor and verify that contractor maintenance schedules are executed as planned.
  • Review and confirm the accuracy of plant and tree replacement submissions from contractors for managerial approval.
  • Ensure that materials used meet quality and satisfaction standards as outlined in contracts.
  • Coordinate with the Arborist on tree-related issues and follow up on the necessary actions.
  • Conduct site assessments and evaluations, reporting any potential concerns proactively.
  • Assist with special landscape and maintenance projects, providing oversight as needed.
  • Collaborate with Management, committees, contractors, architects, and arborists as needed.
  • Monitor project progress and performance, quickly addressing any issues or delays to keep projects on track.
  • Ensure compliance with safety regulations and best practices in all aspects of landscape maintenance and management.
  • Attend meetings with landscape and other contractors, as well as staff, committee, and board meetings as required.
  • Conduct regular quality inspections of completed work to ensure adherence to design and quality standards.


Facilities/General Maintenance
  • Perform repair of any general light maintenance of the property such as lighting/electrical repairs, painting, and general carpentry.
  • Schedule and perform preventative maintenance tasks.


Qualifications:
  • Experience in property management, landscape, facilities or a closely related field.
  • High school diploma or equivalent
  • Minimum 5 years' experience in an office environment.
  • Knowledge of landscape, horticulture, and maintenance practices preferred.
  • Industry experience preferred with knowledge of general landscape and maintenance.
  • Basic command of Microsoft Office, information system hardware/software is preferred
  • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Strong communication and interpersonal skills to effectively interact with homeowners, team members, committees and others.


Working Conditions:
  • This position requires a blend of office work and fieldwork.
  • Ability to work outdoors in various weather conditions and perform physical tasks as necessary.


Language skills:
  • Fluent in English with excellent writing abilities.


Certificates, Licenses, Registrations
  • Possess dependable transportation, a valid California State Driver’s License

associate to successfully perform the essential functions of this job. Reasonable

  • Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs or more following appropriate safety procedures. This movement can occur throughout the day.
  • Must be able to drive - Some local travel by personal vehicle is required
  • Must be able to sit and stand for extended periods of time.
  • Must be able to communicate both on the phone and in person with our clients in order to resolve issues and manage the business.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be mobile enough to move around both the office in order to make copies, send mail and faxes and to walk around the property. This could include lengthy walks on uneven areas.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other associates.
  • Capable of working extended hours, to include evenings, weekends and holidays as necessary.
  • This position may alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.
  • Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
  • Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.
  • Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties


Hours:
Regular schedule is Monday through Friday, 8:00 a.m.-4:30 p.m. with possible hours outside of this schedule.

Supervisory Responsibility:
  • N/A

  • General office equipment
  • May drive a company vehicle or golf cart
  • May use general maintenance tools

Travel:
  • Local travel as needed.
