Work Schedule: 40-45 hours, Monday-Friday (with occasional, varied evening/weekend hours)
Position Summary
The Family Engagement Coordinator plays a vital role in supporting the mission of FIVE18 Family Care by assisting with the delivery of high-quality family engagement opportunities and program-level volunteer coordination. The Coordinator develops ongoing, working knowledge of Family Care services, understanding of regional resources and Vision30 partners, and strength in applying best practices for coaching and supporting volunteers. This position combines responsibilities related to community engagement, volunteer recruitment/cultivation/supervision, data analysis, and event coordination to ensure positive outcomes for client families. The Coordinator develops and maintains strong relationships with varied community partners. This individual will communicate effectively with colleagues and consumers to create and cultivate a positive impression of FIVE18, striving to present a culture of hospitality and competence.

Document and support the service workflow of various Family Care services
- Respond to and record communication in a timely manner.
- Meet at pre-scheduled, regular intervals with Family Care team
- Review current host families, mentors, and other volunteer types in the vetting and/or recertification process
- Review current placement, mentorship, and activity support needs
- Accurately complete and file hosting and mentoring documentation, ensuring notarized documents are completed in accordance with related regulations
- Facilitate communication between client families, volunteers, and program staff
Volunteer Supervision and Support
- Implement the vetting, training, and ongoing support of volunteers.
- Supervise designated Family Care volunteers for each mentorship, placement, and engagement to promote the movement of client families through their goals.
- Collaborate with caregivers and Family Care staff to support family goals based on identified needs and strengths.
- Provide timely, consistent, and accurate documentation for all volunteer activities and client-family interactions.
- Support volunteers as they participate in linking consumers to internal FIVE18 services and external resources (example: CarePortal) as appropriate.
Community Engagement and Partnerships
- Build and maintain strong relationships with community partners and stakeholders to support family engagement initiatives.
- Coordinate and lead portions of small- and large-scale community events, with support and guidance from the Director of Family Care Ministries.
- Promote awareness of FIVE18 Family Care services through direct and indirect outreach efforts, as directed.
Event Support and Coordination
- Planning and Logistics: Collaborate with the Director of Family Care Ministries to plan, coordinate resources, and ensure smooth event execution, including scheduling and preparation.
- Team Coordination and On-Site Support: Facilitate communication among staff, volunteers, and stakeholders to ensure well-coordinated activities, providing on-site support to troubleshoot and maintain a welcoming environment.
- Trauma-Informed and Culturally Sensitive Interactions: Ensure intentional, trauma-informed, and culturally sensitive interactions with families throughout all engagement opportunities.
- Feedback and Recordkeeping: Collaborate with team analyst to collect feedback from participants and maintain records to evaluate event success and inform future planning.
Participate in and occasionally lead various meetings and training.
- Attend TBRI training and advance through the Trauma Informed Care training.
- Attend team meetings and participate in consultative supervision routinely.
- Lead volunteer coordination and training initiatives as directed.
Create and cultivate a positive impression of Family Care and FIVE18 programming in all communication modalities and context, striving to present a culture of hospitality and competence. Produce accurate, timely, consistent, thorough, and concise efforts.
Non-Essential Functions:

Deliverables:
- Vet, train, and coach designated Family Care volunteers, effectively utilizing Better Impact and Foster Parent College online.
- Be aware of and appropriately share upcoming events and training opportunities.
- Participate as an active and collaborative member of the Family Care team.
- Accurate and timely documentation for all placements, mentorships, and volunteer activities.
- Demonstrated growth in volunteer engagement metrics, including recruitment and retention rates.
- Fully trained volunteers, achieving 100% compliance with LCPA documentation standards.
- Contributions to quarterly reports and impact assessments demonstrating service quality and consumer satisfaction.
- Positive client experiences with community events, as reflected in post-event evaluations and feedback.
- Successful coordination and participation in community events and training opportunities.
- Collaborative engagement with team members and stakeholders to enhance program effectiveness.
- Collaborate with Director of Family Care to fully train all ESF foster families and short-placement host families within 60 days of application.

Communicates with:
- Colleagues, volunteers, and varied community stakeholders - collaborating with other team members and interacting with client families and volunteers on a daily basis.
- Immediate supervisor, reviewing activity via email and personal meetings.
- Peers and managers in other programs, as well as program directors and chief officers as necessary for effective program implementation.
Direct Supervision Over:
- Designated volunteers providing hosting, mentorship, or other support of Family Care programming.
Decision Making Authority:
This position will be responsible for the successful recruitment, vetting, training, and support of volunteers who are hosting children and building mentor relationships with children, impacting all Family Care services, as well as effective support of events - as such, it uses a HIGH level of decision making authority.

POSITION QUALIFICATIONS
Knowledge of:
- Best practices in child welfare
- State and federal agencies/regulations/laws pertaining to child welfare
- Virginia LCPA licensing standards (required after hire)
- Teaching Family Model (required after hire)
- Trauma-informed modalities of care (preferred upon hire)

Education & Experience:
- Bachelor’s degree in social work or related field (preferred) - with minimum of 1 year of related experience
- Associate’s degree in social work or related field - with minimum of 2 years of casework and related experience
- High School degree - with minimum of 5 years of related experience
Experience Defined: Providing case work services to children and/or families, working on an interdisciplinary team, providing direct trauma-informed care to children and/or families, volunteer recruitment and/or coordination.
Technology Skills: Competency with using computers, scanners, copiers, fax machines, and telephones; proficiency preferred in Google suites, Extended Reach
Certification & Licenses: Virginia Notary Public Commission (preferred)
Other Requirements:
- Knowledge of child development and trauma-informed modalities of care.
- Demonstrated ability to come alongside with a family who is distressed and assist them in navigating resources/processes to provide adequate support for their family to thrive.

- Must have a valid driver’s license and an acceptable driving record, with safe and reliable transportation for work related purposes.
