Part-Time Office Assistant

Office Located in Calallen. 78410

Fixed Income Landscaping is seeking to hire a Part-Time Office Assistant to be the first point of contact for clients visiting the office or contacting us to learn about services offered. Part-Time Office Assistant responsibilities include but are not limited to greeting clients upon their arrival, answering clients’ questions about services via phone, text messages, email or in person while gathering information about the clients’ needs and wishes for their projects.

To be successful in this role, you should be highly organized and able to manage clients with grace, even during peak demand. Ultimately, you will help boost our reputation by building friendly and trusting relationships with clients.

*This is an in-person position only. There is NO chance of it becoming a remote position.

Responsibilities (Include but not Limited to)

  • Warmly greet clients that visit and gather the appropriate information answering questions about services
  • Book and confirm appointments via phone, text messaging or email
  • Collect information from clients about the needs and wants regarding their property
  • Schedule and manage appointments, future and present, on Google Calendar
  • Maintain proper filing for documents, for both paper and online
  • Manage our call center answering all incoming calls and texts, returning calls if need be.
  • Process payment transactions and follow up with those who haven't made payments
  • Inform clients about new services and discounts
  • Update client records with contact and billing details, appointments and services offered
  • Reconcile transactions for accounts receivable
  • Record and document time clock from team
  • Maintain a tidy office area
  • Remove trash from all trash cans at end of week
  • Vacuum and clean office areas
  • Order business cards, brochures, banners, signage and stationery as needed
  • Run errands if necessary for the needs of the business

Skills

  • Excellent communication abilities (verbal, texts, phone and email) with a customer service attitude
  • Proven work experience as a Receptionist, Front Desk Representative or similar role
  • Hands-on experience with office equipment, Google Suites, printers and online POS systems
  • Familiarity with processing transactions
  • Solid organization and record-keeping skills
  • An ability to remain calm under stressful circumstances
