Job Overview:
Flatout Fulfillment is seeking a reliable, motivated, and detail-oriented individual to join our team as a Front Desk and Invoicing Specialist. This dual-role position is key to ensuring smooth operations at our warehouse by managing client invoicing and handling front desk responsibilities. The ideal candidate will be a proactive problem-solver who is a good self-starter, eager to learn, and possesses excellent organizational skills and a professional demeanor.
Key Responsibilities:
Invoicing and Client Management:
- Prepare, review, and process invoices accurately and in a timely manner.
- Maintain detailed and organized records of client transactions.
- Communicate with clients to address and resolve any invoicing discrepancies.
- Collaborate with the accounting department to ensure accurate billing and reporting.
- Track and follow up on outstanding payments as needed.
Front Desk Operations:
- Serve as the first point of contact for visitors and clients, providing excellent customer service.
- Answer and direct phone calls, emails, and inquiries appropriately.
- Manage appointment scheduling and coordinate warehouse visits.
- Maintain the front desk area in a neat and professional manner.
- Handle incoming and outgoing mail and packages.
Qualifications:
- Previous experience in invoicing, billing, or administrative roles is preferred.
- Strong organizational skills and attention to detail.
- Self-motivated and proactive with the ability to work independently.
- A willingness to learn and adapt in a dynamic environment.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Excel, Word) preferred.
- Ability to multitask and manage priorities effectively.
