Responsibilities
- Provide direct support to the Branch Chief and Special Agents working throughout the region.
- Utilize a multitude of investigative and law enforcement systems for data input, review, analysis and retrieval.
- Assemble, prepare and package files for shipment to the National Archives and Records Administration (NARA).
- Prepare and ship law enforcement supplies, such as speed loaders, flashlights, lock picks and evidence materials.
- Assist with subject, victim and witness checks. Assist with reviewing, editing and quality controlling investigative reports, information bulletins, emails and presentations.
- Plans and provides analytical support for facilitation, training, methodology development and evaluation, business management techniques, and organizational development.

Front Office Support
- Prepare, review, edit and compose correspondence, internal and external memorandums, meeting minutes, emails and other communications in support of Front Officer operations.
- Provide recommendations and corresponding support documentation for administrative and management process improvements, based on government and industry best practices.
- Collect, assemble and provide daily operational data and reports to the Management Team.
- Track and execute regional Correspondence Analysis Task Tracker (CATT) system actions.
- Provide oversight and guidance for employee performance work plans and evaluations using the Employee Performance Management (EPM) system.
- Run reports compile data and conduct analyses of threat, criminal cases and other operational information stored in the Law Enforcement Information Management System (LEIMS).
- Maintain confidentiality of information.
- Track, compile, report and maintain records for operational requirements:
- Prohibited items
- Post Visits and Post Inspections
- Vehicle Operation Report and related records
- LEIMS Incident Reports
- Mega-Center Reports
- Purchase Card Expenditures
- Supplies
- Assist with official travel.
- Assist with Time & Attendance (WebTA).
- Prepare/submit payroll reports, as required.
- Track training for Federal Law Enforcement Officers.
- Assists with information technology and equipment inventories.
- Coordinate work activities and provide support to the regional CORs, PSOO and other Task Managers.
- Assist with the determination of service requirements from federal customers (new requirements, changes to existing services, etc.).
- Prepare cost estimates based on requested requirements, new task orders and wage adjustments.
- Prepare/submit G514 Requisitions in the Federal Financial Management System (FFMS) based on the service requirements.
- Prepare Security Work Authorizations (SWAs) or G-Invoicing orders based on the service requirements.
- Track task order expiration dates and ensure timely submission of approved funding and exhibits to avoid lapse in service.
- Review and verify monthly vendor billed hours to ensure timely payment to service providers.
- Review vendor timesheets for accuracy and reconcile against contract documents.
- Conduct initial review of vendor invoices, document discrepancies, populate the burn-rate spreadsheet and prepare the receiving tickets in FFMS.
- Prepare the invoice receiving reports.
- Track contract PSO training, licensing and qualification requirements in the designated IT system.
- Assist CORs with contract closeouts activities.
- Conduct PSO program administrative audits and prepare forms for CORs’ review/approval.
- Compile data for Performance Monitoring Meeting reports.
- Other duties commensurate with the position, as assigned.
- Assist with daily updates of the region’s Post Operational Tracker.
- Assist with Facility Security Assessment (FSA) reviews. Keep track of FSAs and prepare the reports for presentation.
- Technical Countermeasure (TCM) Program support:
- Enter updates in MIST.
- Track and provide status of functionality tests.
- Track and provide status of TCM inventory.
- Coordinate disposal of e-waste.
- Receive and Reception functions:
- Take calls, record and relay messages.
- Greet visitors, verify identification and credentials, and make the required referrals.
- Prepare, maintain and distribute phone contact listings.
- Receive, process and distribute mail.
- Maintain general office files.
- Escort visitors, as needed.
Education and experience:
- High School Diploma/Technical Training; 2 years
- Associate’s Degree and 2-3 years’ experience, preferred
