What are the responsibilities and job description for the Project Coordinator/Shipping Backup position at FLAVOR & FRAGRANCE?
Summary:
Responsible for providing backup shipping and receiving support when shipping coordinator is absent. This includes hazardous material and dangerous goods shipments. Primary responsibilities are providing project coordination support to the project managers. These essential duties are listed below:
- Project coordination support for project managers
- Backing up shipping and receiving for absences
- Other duties as assigned
Hours 9:00am – 6:00pm, Monday - Friday
Facility Requirements:

Perform Master Facility Project Manager administrative assistant responsibilities
- Manage Sustainability program (copy and log all utility bills, manage sustainability report throughout the year)
- Manage AirTable project management program, update information regularly to track project financials, timelines, contracts.
- Provide administration support to crisis management program.
- Event coordinator: Work with organizer, plan, purchase items, set-up, decorate and breakdown events. Coordinate event bookings for the meeting rooms on the shared calendar.
- Oversee external cleaning contractor.
- Maintain stock of cleaning supplies
- Emergency backup for cleaning requirements that need immediate resolution and cleaning contractor is not available.
- Provide building services, such as, fire extinguisher checks, exit/emergency lighting checks, shred it, and exterminator
- Maintain stock and inventory of all household items in warehouse (cups, plates, forks, spoons, etc.)
- Maintain inventory and stock both 2nd floor and first floor break rooms, with coffee, K-cups, Nespresso, sugar, stirrers, etc.
- Manage lab coat vendor program: weekly invoicing, additions and subtractions, and non-conformances
- Manage inventory and stock savory/bakery with towels
Shipping Requirements:
- Receive and maintain Hazardous material and dangerous goods shipping certification within 90 days of employment
- Familiar with shipping systems (FedEx, UPS, DHL etc.)
- May require dropping packages at UPS or FedEx on occasion
- Intermediate ability to use Microsoft Office primarily Excel, Word and Outlook to create documents and communications
