Client Services Representative
Overview:
Harahan, LA: Flexicrew Technical Services (FTS) is seeking a Client Services Representative to manage daily reception and hospitality activities, provide administrative support, and assist the Contracts and Purchasing segments. This role requires excellent customer service skills, organizational abilities, and multitasking capabilities.
Essential Duties:
Reception:
- Answer and route phone calls, responding to inquiries as needed.
- Greet and screen visitors, issue visitor passes when required, and direct them to the appropriate personnel.
Hospitality:
- Provide general hospitality and coordinate catering as needed.
- Perform light kitchen duties, such as making coffee and managing trash disposal.
Administrative:
- Reconcile receipts with credit card statements.
- Validate invoices against manual PO logs and submit them for payment.
- Handle incoming and outgoing mail, including sorting, distributing, and posting.
- Maintain stamp inventory and manage document shredding services.
- Process ground shipments as required.
- Order, receive, and organize office and kitchen supplies.
- Maintain the monthly visitor log and take new hire photos.
Contracts Support:
- Scan vendor packing slips as records of inspection receipts.
- Expedite inspection of delivered materials and documentation.
- Follow up on vendor purchase orders and maintain acknowledgment records in the ERP system.
- Mail customer invoices and issue manual purchase orders for office and facility supplies.
- Assist Contracts Administrators with various tasks.
- Scan and upload weekly cycle count records.
Other Responsibilities:
- Support other departments with special projects as needed.
- Participate in the organization’s continual improvement program to comply with ISO 9001 standards.
- Perform other duties as assigned.
Requirements/Skills:
Education & Training:
- High school diploma or equivalent required.
- Associate degree preferred.
Experience:
- Minimum of two years’ experience in an office environment with customer interaction preferred.
- Experience in an ISO 9001 environment is a plus.
Knowledge & Skills:
- Proficiency in Microsoft Office Suite.
- Spanish language skills (spoken and written) are a plus.
- Ability to operate a multi-line telephone system professionally.
- Strong communication skills with the ability to interact courteously with the public.
- Basic math skills, including calculating discounts, percentages, and measurements.
- Ability to work collaboratively with employees and management across different departments.
- Strong multitasking, prioritization, and deadline-management skills.
- Problem-solving skills and the ability to follow various forms of instructions.
Physical Requirements:
- Regularly lift/move up to 15 lbs; occasionally lift/move up to 50 lbs.
- Utilize close vision, distance vision, depth perception, and focus adjustment.
- Flexible working hours as required.
- Occasional exposure to a production environment.
