The Human Resources secretary provides essential administrative support to the HR department while delivering excellent customer service to both internal and external stakeholders. Responsibilities include managing confidential employee records, assisting with the recruitment and hiring process, processing employee benefit transactions, and coordinating substitute placement. This role requires strong attention to detail, professionalism, and the ability to multitask in a fast-paced environment.
Essential Functions (May include, but not limited to):
1. Assists with managing the district’s absence management system for substitute teacher and paraprofessional placements.
2. Maintains confidentiality of employee records, including demographic data, salaries, criminal history, and pre-employment screenings.
3. Supports the recruiting and hiring process by scheduling interviews, conducting reference checks, and processing new hire documents.
4. Assists in the hiring process, ensuring all required documentation is obtained from the applicants prior to onboarding.
5. Processes employee benefit transactions, employment verification, unprofessional misconduct inquiries, and Student Loan Forgiveness Applications.
6. Prepares and organizes documents for subpoenas, FOIA requires, and other legal or administrative needs.
7. Manage office tasks, including scheduling meetings, maintaining inventory, sorting mails, and updating records.
8. Responds to phone and email inquiries professionally and courteously.
9. Assists with vacancy tracking, record-keeping, and special projects.
10. Greets and assists visitors in a professional and welcoming manner.
11. Perform additional duties as assigned.

Qualifications: Education: High school diploma or GED required. Associate’s degree in business related field preferred.
Experience: Previous clerical experience required. Minimum 2 years of related experience preferred. Previous human resources experience preferred.
Skills: Demonstrated intermediate computer skills. Experience with Microsoft Office products, and other office equipment. Demonstrated ability to speak clearly and concisely in both oral and written communications. Discretion with confidential information. Excellent organization and ability to problem solve.
