Secretary - Grants Department
The Secretary for the Federal, State, and Local Grants Department provides a variety of secretarial and administrative support to the assigned administrator and department staff. This position is responsible for maintaining accurate records, coordinating projects, and preparing necessary communications and documentation. The secretary serves as a point of contact for staff, parents, and community members, providing requested information in a professional and timely manner.
If a placement offer is made, the employment relationship will be considered an “at will” employment relationship with Edustaff, not the District. There will be no contractual relationship or promise made concerning your worksite placement at the District.
Placement: Flint Community Schools – Administration Building
Essential Job Functions (note this is not an exhaustive list of the duties performed for this position):
- Perform general office duties, including filing (digital and physical), record keeping, keyboarding, and operating office machine.
- Coordinate department communications, including writing and distributing letters, notices, newsletters, and required updates.
- Maintain departmental calendars, scheduling appointments and meetings as necessary.
- Process and maintain employee payroll and time sheets.
- Prepare and process invoices, purchase orders, and other documentation.
- Effectively communicates and provide updates to vendors, nonpublic partners, and district staff on the status of orders, requests, and payments.
- Organize and manage supplies, including retrieving deliveries, maintaining inventory and preparing requisitions.
- Organizes and Maintains PARS/Time and Effort documentation for all District federally and State funded staff
- Assist the Director of State and Federal Programs with the bi-annual certification of PARS/Time and Effort staff documentation.
- Archive and maintain accurate records and ensure the validity of data presented to stakeholders.
- Assist with onboarding and providing technology for new departmental staff.
- Provide support for departmental and District grant funded events, including scheduling, travel arrangements, and logistical support.
- Assist in the upkeep of the office and submit work orders when necessary.
- Represent the department and District professionally, ensuring positive and cooperative interactions with all stakeholders.
- Perform other related duties, including special projects, as required or requested, consistent with reasonable expectations for the position.

Qualifications:
Education
- High School Diploma or GED required.
- Post-secondary business classes or equivalent experience preferred.
Experience
- At least two years of secretarial experience required.
- Demonstrated proficiency in maintaining and organizing records and reports.
Skills and Competencies
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Intermediate computer skills, including knowledge of multi-line phone systems and modern office equipment.
- Strong organizational skills and ability to manage multiple tasks efficiently.
- Excellent interpersonal, written, and oral communication skills.
- Ability to maintain confidentiality and handle sensitive information responsibly.
- Strong problem-solving skills and the ability to work independently in a fast-paced environment.
- Ability to interact with diverse groups of stakeholders with tact and courtesy.
- Demonstrated record of good attendance and punctuality.
