Position Summary:
Florida Atlantic University is seeking an Events Manager - Boca Raton, FL.
Summary of Responsibilities:
The Events Manager is responsible for planning, coordinating, and executing a wide range of College of Medicine (COM) events that support the mission areas of the COM, including enhancing educational events and programs, community engagement, donor relations, and institutional initiatives at the Schmidt College of Medicine. This position ensures that all events align with the College’s mission, branding, and strategic goals while fostering meaningful relationships with faculty, staff, alumni, donors, and external partners.
Reporting to the Associate Dean for Finance and Administration, the Events Manager will also work closely with the COM Development, Communication and Outreach, and Educational teams, collaborating on fundraising events, stewardship activities, community engagement initiatives, and educational events including Admissions, Undergraduate and Graduate Medical Education (UME/GME), and Continuing Medical Education (CME) events. This role requires exceptional event planning skills, financial oversight, and a strategic mindset to manage logistics, budgets, and stakeholder relationships.
Essential Duties and Responsibilities:
Event Planning and Coordination:
- Plan, organize, and execute a variety of college-wide and ad-hoc events, including but not limited to Dean’s Suite-hosted events, recognition ceremonies, donor events, community outreach programs, faculty and staff appreciation activities, holiday gatherings, and student-focused events.
- Develop and manage detailed event timelines, task lists, and planning schedules to ensure all logistics are in place for successful execution.
- Research and secure venues, catering, audiovisual support, transportation, and event staffing as needed.
- Ensure all events maintain a high standard of professionalism, branding consistency, and strategic impact.
- Collaborate with the Development team to support fundraising activities, donor engagement events, and stewardship initiatives.
- Coordinate the Continuing Medical Education (CME) activities and symposiums to ensure proper execution and compliance with accreditation guidelines.
- Serve as a central resource for event planning across the college, offering guidance on best practices and execution strategies for events produced by other departments.
- Lead year-round planning for major, high-profile events that require extended timelines, such as community engagement initiatives, signature ceremonies, and student and trainee recruitment events.
- Develop and implement standardized event planning processes, ensuring consistency, efficiency, and adherence to the College of Medicine and University policies. Establish best practices, workflows, and documentation to streamline event execution and enhance coordination across departments, and scalability for future events.
Event Production and On-Site Management:
- Oversee all logistical aspects of event execution, including vendor coordination, setup, on-site troubleshooting, and event breakdown.
- Act as the primary on-site contact to ensure all event elements run smoothly and attendees have a positive experience.
- Coordinate efforts with the communications team to ensure cohesive branding, event promotion, and follow-up outreach.
- Work with photographers, videographers, and marketing professionals to capture and promote events effectively.
- Ensure events comply with College of Medicine and University policies, safety requirements, and risk management protocols.
Financial Management and Budget Oversight:
- Partner with Dean’s Office and COM Finance to ensure fiscal accountability for all college-wide events.
- Develop and track event budgets, ensuring cost-effective planning while maintaining event quality.
- Process purchases and expenses, including vendor invoices, requisitions, and purchase orders, ensuring all financial transactions comply with FAU policies.
- Liaise with the FAU Controller’s Office and Accounts Payable to ensure timely vendor payments and financial record-keeping.
- Maintain accurate financial records related to event expenditures and provide reports for budget tracking and forecasting.
Strategic Stakeholder Engagement and Advancement Collaboration:
- Partner with faculty, staff, and external stakeholders to ensure events support the college’s fundraising and community engagement goals.
- Work with the Dean’s Office, Development, Community and Outreach, and Educational teams to identify strategic community events where the college should participate (sponsorships, ticketed events, donor luncheons, etc.) and coordinate attendance.
- Support COM Advisory Board meetings and activities, working with the Associate Dean for Finance and Administration and the Development team to ensure the successful execution of engagement and fundraising efforts.
- Assist in securing corporate sponsorships for select signature events in collaboration with Development.
Evaluation and Continuous Improvement:
- Collect feedback from attendees, stakeholders, and leadership, and track KPI’s to measure event success and make data-driven improvements.
- Maintain detailed event records, reports, and best practices to inform future event planning.
- Propose creative and innovative approaches to improve engagement, attendance, and the impact of key events.
Other Duties as Assigned:
- Performs other job-related duties as assigned to support the overall mission and objectives of the college.

Minimum Qualifications:
Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience.Preferred Qualifications/Skills:
- Bachelor’s degree in Event Management, Hospitality, or a related field.
- 3–5 years of experience in event planning, preferably in higher education, healthcare, nonprofit,
- Strong ability to manage multiple large-scale events simultaneously with precision and attention
- Proven ability to develop and manage event budgets, negotiate vendor contracts, and oversee
- Excellent interpersonal and communication skills with the ability to engage effectively with
- Proficiency in event management software, Microsoft Office Suite, and virtual meeting platforms
- Willingness to work evenings and weekends as needed for events.
- Experience in corporate sponsorships and donor engagement events.
- Familiarity with higher education event policies and institutional branding guidelines.
- Knowledge of best practices in fundraising event management and community outreach
- Strong problem-solving and crisis management abilities and adaptability under pressure.
- Ability to remain calm, professional, and solution-oriented in high-pressure event situations.
- Creative and strategic mindset, capable of developing new engagement opportunities.
