Education

  • Bachelor’s Degree preferred

Experience / Qualifications

  • Minimum 3 years of experience in an Events Manager role. Non-profit environment and/or healthcare environment a plus.
  • Experience in special events with a clear understanding of logistics, budgeting, projections, analytics, and fundraising.
  • Must have strong written and verbal communication skills, exceptional organizational skills, and attention to detail.
  • The ability to plan and administer multiple concurrent projects, knowledge of event scheduling, production, administration, and sponsorship.
  • Proficiency in Microsoft Outlook, Microsoft Word, Excel, PowerPoint required and experience with Raiser’s Edge is desirable.
  • The ideal candidate will have a very positive attitude and be willing to jump in and assist on projects as needed.
  • Tactful exercise of judgment and discretion given the high net worth of constituents.
  • Excellent interpersonal skills and the demonstrated ability to relate well with individuals at every level of an organization, both internally and externally.
  • Ideal candidate should be able manage and monitors timeframes and deliver clear and concise event recaps.
  • Work directly with vendors, partners, and internal stakeholders for all event related needs under the Director of Events
  • Maintain event ROS’s, event overview decks and workback schedules for events when needed.
  • Support on-site execution of events when needed.
  • Event Manager must attend all events.
  • Adhere to brand strategies.
  • Ability to represent Jupiter Medical Center and the Foundation with a wide range of constituencies in a manner that heightens the quality of the relationship and advances the positive perceptions of the Medical Center and the Foundation in the community.

Position Summary

The Manager of Events, in collaboration with the Director of Events, will assist in executing a comprehensive calendar of events. His/her focus will be primarily on the annual Lighthouse Legacy Society luncheon, annual donor reception, community receptions and providing support for the ladies’ golf tournaments. In addition, he/she will assist with the annual Charity Golf Classic, Black Tie Ball, Women’s Health and Wellness Conference, Leaders in Philanthropy recognition dinner in addition to private receptions, campaign events, ribbon-cuttings and groundbreakings.

Examples Of Logistical Components Of The Position Include

  • Coordination with courier service for delivery to venues.
  • Silent auction management.
  • Assist donors with registrations for events when necessary.
  • Coordinate vendor tables for women’s conference.
  • Assist as needed with following up for collateral creation.
  • Menu selections.
  • Schedule photographers.
  • Coordinate A/V.
  • Act as liaison for tournament chairs.
  • Create presentation checks.
  • Coordinate check presentation photos.

Principal Responsibilities

  • Securing venues and thorough review of contracts prior to approval by Director of Events.
  • Preparing for the event, working with the venue, vendors, maintaining event records as well as logistical oversight, and conducting necessary follow-ups, invoicing and thank you letters.
  • Assist Director of Events with room layout when needed.
  • Extensive coordination of auction catalog for Black Tie Ball.
  • Works closely with the Director of Events in the development of event related collateral including invites, programs, signage, and other collateral as needed.
  • Update Raisers Edge as needed for sponsors, underwriters, and Donors.
  • Must attend all events including, but not limited to, the Annual Black-Tie Ball, Charity Golf Classic, Leaders in Philanthropy Dinner, Annual Donor Reception, Lighthouse Legacy Society Luncheon, Women’s Health & Wellness Conference, private dinners, community receptions and committee meetings.
  • Ensures that information disseminated to staff is monitored for effectiveness and changed as needed.
  • Effectively uses and role models current leadership techniques and theories, encouraging the decision-making skills of staff members and providing insight and leadership in complex situations.

Physical Requirements

Requires sitting for long periods of time, also stooping, bending, standing, and stretching. Must have manual dexterity for typing and computer data entry. Able to work under a stressful environment, work independently, capable of making sound decisions, be detail oriented, alert, and self-motivated. Ability to push/pull up to 40lbs., carry and lift up to 20lbs.
