Job Title: Sleep Lab Coordinator
Department: Sleep Lab
Reports to: Office Supervisor
Job Summary: Assists providers and manages clinical functions in the department. MA experience preferred but not mandatory. At least 2 years in an clinical office setting working with authorizations.

Essential Functions of the Position:
- Assists provider with set up of Sleep Lab testing and Education for patients
- Addresses and handles all tasks
- Returns messages
- Notifies patients of test results and instructions from provider
- Schedules follow up appointments
- Enters referral information into the Practice Management System for referral tracking / collecting copays or co-insurances due at time of service.
- Handles sleep lab calls for the office
- Distributes, reviews, and teaches patient education
- Assist patients with mask fitting and use
- Teach patient to operate and adjust Cpap and Bipap machines
- Prepares referrals and obtains authorizations for Managed Care patients per provider
- Obtains approval from the provider for requested authorizations
- Schedules appointments
- Coordinates sleep lab visits
- Notifies patients of the appointments
- Forwards clinical data to the treating provider and/or facility
- Uses approved web tools to obtain authorizations
- Notifies providers and staff of changes in the referral process or insurance requirements
- Enters referral authorization information into Practice Management System
- Maintains updated network information
- Coordinates admissions with providers and facilities
- Manages incoming and outgoing referrals for the lab
- Acquires all medical records necessary for visit
- Makes sure all ordered tests have been performed and results are present
- Follow protocol of getting reports back to Referring providers
- Follow protocols for set up and reporting of the Inspire testing
Manages all DME orders
- Assists in the ordering of DME items related to sleep
- Coordinates with each DME provider to make sure they take the patient's insurance and all necessary documentation is sent at the time of the ordered
- Ensure patients have follow up visits for their compliance after DME is ordered.
- Work with DME companies on any issues with equipment or patients
- Completes the end of day processes
- Maintains medical equipment; ensures all equipment is calibrated, cleaned, sterilized and charged
- Collects red bags as necessary
- Monitors and replaces sharps containers when needed
- Stocks exam rooms and sleep lab
- Cleans and sanitizes exam rooms and sleep lab
- Empties HIPAA container into destruction bin
- Logs off of all work stations including exam rooms
- Maintains an organized and clean work area
- Participates in maintenance of clinical supplies
- Performs other incidental and related duties as required and assigned
- Physical requirements
- Able to stand or walk for long periods
- Use of proper body mechanics
- Normal concentration and normal complexity of decision making
- High level verbal and written communication skills
- Above average ability to manage multiple tasks simultaneously
- High risk exposure to bloodborne pathogens and chemical hazards
- High school graduate or GED equivalent
- Strong customer service orientation
- Completion of MA certification program preferred
- Strong team player
- Basic computer proficiency
- Minimum 2 years experience in a clinical office setting working with authorizations.
- Medical Assistant experience preferred.
