Description:
This position serves as a senior member of the Registrar's Office leadership team and provides oversight over customer-service and student-facing functions. Serves on key university committees, participates in university initiatives, partners with offices in resolving student issues. Supervises staff and facilitates training as needed to improve the efficiency of the Registrar’s Department. This position functions under the direct supervision of the University Registrar.
Specific Duties and Responsibilities:
Records Management
- Oversees the maintenance of accurate and up-to-date academic records for all students.
- Oversees grade entry, probation/suspension process, GPA calculations.
- Manages the process of transcript evaluations, degree verifications, and other related services.
- Ensures compliance with university policies for records management and retention.
Course Scheduling and Registration
- Manages the Master Schedule university wide.
- Coordinates and facilitates the course registration process for each academic term.
- Collaborates with academic departments to develop and maintain the Master schedule.
- Optimizes course offerings based on student demand, faculty availability, and program requirements.
- Effectively utilizes Student Information System and technology tools to maintain degree programs and audits.
Reporting and Analysis
- Generates and analyzes data related to student enrollment, academic performance, and other relevant metrics.
- Prepares reports for university administration and accreditation purposes.
- Supports institutional accreditation activities and self-studies.
Compliance and Policy Adherence
- Supports University Registrar with ensuring compliance with university policies, state and federal regulations, and accreditation standards related to academic records and student information, course registration, withdrawals, and prerequisite requirements.
- Serves as a source for interpreting policy based on knowledge of institutional and external standards.
- Serves on various University committees and advisory groups.
Management and Training
- Hires, trains, and supervises Registrar’s Office staff
- Operates at a high level of proficiency in the technology tools used by the Registrar’s office (ex. Anthology, Etrieve, etc.)
- Provides training and support to faculty and staff on the use of the technologies employed by the Registrar’s office as needed.
- Supports other campuses in the absence of a Campus Registrar.
Communication
- Serves as a conduit for information to flow in and out of the Registrar’s office to other departments, and offices throughout FNU.
- Responds to student requests and complaints.
- Participates in Commencement ceremonies and activities.
- Responds to communications (e-mail/voicemail) daily.
- Performs other duties as assigned.
Qualifications:
- Minimum master’s degree or higher from an accredited college or university.
- 10 years’ experience in a college/university setting or similar with at least 5 years of leadership experience in a high volume, customer service oriented, and academic institution.
- Progressive management experience in higher education, preferably in an enrollment-services, advising or other student service role.
- Excellent communication, analytical, critical thinking, problem-solving, and decision-making skills.
- Demonstrated ability to work effectively with faculty, students, and administrators and staff at all levels of the institution.
