SUMMARY
The Administrative Assistant provides significantly responsible work performing a variety of administrative and secretarial duties. The Administrative Assistant must possess strong organization and time management skills with the ability to simultaneously manage multiple tasks. The Administrative Assistant is responsible for answering phones, filing, reviewing incoming documents, conducting research, preparing reports, and managing multiple calendars. The Administrative Assistant must be adaptable to multiple and changing priorities. This position must be able to maintain a high level of professionalism and is responsible for handling confidential and sensitive information.
 
An Administrative Assistant's primary responsibilities include the following: (1) Courtroom assignments; (2) Back up for Judicial Assistants; (3) Court Administration Duties; (4) Other Duties as Assigned
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are normal for this position.  The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.

(1) Courtroom Assignments
  • Assign courtrooms based on Judicial calendars
  • Record/update outlook calendar for training and conference rooms
  • Assist in scheduling depositions

 
(2) Back-up for Judicial Assistants 

  • When required, provide Judicial assistance with phone coverage and mail processing to assigned Judge's office
 
(3) Court Administration Duties
  • Provide support to Court Administration receptionist as required
  • Assist in completing disqualifications, recusals, and reassignment orders.
  • Assist in Processing ADA requests to include informing the person of requirements, form completion and submission to appropriate departments, and maintain required records
  • Assist with public requests
  • Assist with processing of facilities work orders
  • Update monitors daily

Knowledge of: 
  • Court practices, procedures, and legal terminology
  • Appropriate spelling and grammar

Ability to:
  • Handle matters with integrity and confidentiality
  • Organize and coordinate various individuals and/or groups on the court calendar
  • Exhibit sound judgment, work well under pressure, and meet established deadlines and goals
  • Communicate clearly and effectively with the public, as well as, other internal and external customers
  • Provide effective, accurate, professional, polite, friendly, and prompt customer service to the public and other agency personnel, AOC employees, and the Judiciary
  • Handle emotionally upset and demanding individuals with courtesy and patience
  • Effectively use a computer
  • Utilize and learn various software programs such as word, Outlook, Excel
  • Operate general office equipment
  • Type at least 35 correct words per minute
  • Maintain consistent and regular attendance, which is required
EDUCATION and/or EXPERIENCE
  • High school diploma or GED
  • One year of administrative support/clerical experience
