ResponsibilitiesThe Donor Relations Coordinator will help plan for and direct the thanking, impacting and recognition of university donors. The coordinator will collaboratively implement stewardship initiatives including acknowledging, reporting and designing programs and activities that showcase the difference donors make at FSU.
Administer scholarship thank you letters
- Work as a stewardship administrator within the FS4U platform, reviewing thank you letters from scholarship recipients to donors throughout the year; Send hard copy or email copy of each letter to applicable donors; Properly record all activities in FS4U and donor management software; work with University Advancement accounting and departments across campus as needed to answer scholarship questions.
Organize recognition society programs
- Oversee and coordinate logistics of the University Advancement donor recognition societies: Assemble and mail welcome packets to honorees as well as donors who achieve different levels of giving; In collaboration with the director of donor relations and University Advancement colleagues, review and, as necessary, refine and develop donor benefits and recognition programs; Periodically review recognition society collateral material to determine if updates are needed; Manage all data input for donor recognition societies.
Oversee monthly stewardship programs
- Coordinate mailing birthday cards, sympathy cards and holiday cards to key donors and log appropriately; Organize and send other monthly mailings and ThankView campaigns to leadership annual giving, major and principal gift donors.
Write letters and donor communication
- As needed, review, research and write donor communications and acknowledgment letters; Serve as backup to senior donor relations coordinator in managing all acknowledgment letters; Work with development officers, campus partners and other University Advancement staff, help coordinate and send ThankView communications to donors; assist senior donor relations coordinator in researching and compiling donor impact reports. Work with communication staff members to develop and refine donor content on oneFSU, our secure, online community; and Collaborate with staff to develop messaging, collateral material and events that support donor relations initiatives.
Administrative tasks
- Appropriately log donor contact information in CRM, University Advancement’s prospect management system, and keep development officers (DOs) appraised of donor issues and questions; Document new departmental processes/procedures and update existing ones; Pursue continuing education and training in CRM as well as best practices in donor relations; Protect confidential information; and Perform related duties as assigned.
Bachelor’s degree and two years of experience; or a high school diploma/equivalent and experience equal to six years. (Note: post-high school education can substitute for experience at the equivalent rate.)
- Proficiency in the Microsoft Office products suite (Excel, Outlook, PowerPoint, Word), or equivalent software.
- Excellent communication skills to include verbal and written proficiency.
- Excellent organizational and administrative/clerical skills.
- Must be a self-starter and comfortable working independently as well as with a team.
- Experience prioritizing, organizing and performing multiple work assignments simultaneously and in a detail-oriented environment.
- Experience preparing clear and concise reports, correspondence, and other written materials.

Preferred Qualifications- Experience in a private or public-sector fundraising organization or customer service environment.
- Functional knowledge of constituent database software, preferably Blackbaud CRM. Experience using Microsoft Excel.
- Professional donor relations experience in a university or foundation environment preferred.
