Office Manager - Flourish Family Medicine
Location: Mill Creek, WA
Employment Type: Part-Time to Full-Time (Monday – Friday, occasional Saturdays if needed)
Salary: $26-28/hour or DOE

Position Summary
The Office Manager leads and oversees the day-to-day clinical operations of the practice, ensuring an efficient, organized, and patient-centered environment. Collaborating closely with the Medical Director, this role is essential for maintaining clinical policies, ensuring compliance, and fostering a culture of excellence in care delivery. The Office Manager also supervises all clinical staff, provides training, and implements best practices for clinic operations.
Key Responsibilities
- Collaborate with the Medical Director to promote the organization's mission and uphold its values.
- Supervise daily operations to ensure smooth patient, staff, and guest experiences.
- Develop, enforce, and monitor compliance with clinical policies, procedures, and quality improvement programs.
- Recruit, onboard, and train clinical staff; oversee educational initiatives.
- Supervise and support clinic personnel, including providers, nurses, and medical assistants.
- Conduct regular employee evaluations and provide constructive feedback.
- Maintain personnel files, ensuring compliance with state laws and accreditation requirements.
- Serve as the clinic’s Safety Officer and oversee the implementation of safety protocols.
- Manage and optimize the Electronic Medical Records (EMR) system in collaboration with the Medical Director.
- Coordinate updates to patient resources, community connections, and clinic communications, including a patient app.
- Assist with patient education materials and ensure compliance with testing and reporting protocols.
- Research and implement new medical and social services as directed by leadership.
- Monitor and improve clinic workflow, patient flow, and team efficiency.
- Handle interpersonal situations professionally, involving leadership when necessary.
Qualifications and Competencies
Education and Certifications:
- BLS certification (may be completed after hire).
Professional Experience:
- 2–5 years of clinical experience in women’s health, pediatrics, or family medicine preferred.
- 2–5 years of management experience.
- Proven experience developing, implementing, and evaluating medical policies and procedures.
Communication and Interpersonal Skills:
- Demonstrates respect, compassion, and cultural sensitivity in all interactions.
- Skilled in team leadership, staff motivation, and conflict resolution.
- Maintains confidentiality and builds trust-based relationships with patients and staff.
- Excellent verbal and written communication skills in English.
Business Management Skills:
- Proficient with Microsoft Office and EMR systems.
- Experience managing budgets, workflows, and cost-saving initiatives.
- Demonstrates flexibility, creativity, and problem-solving abilities.
- Capable of designing and implementing processes that support operational excellence.
