Administrative Assistant

Provides telephone and administrative support for the branch or specific branch departments as required.

Key Responsibilities include:

  • Processes both incoming and internal phone calls.
  • Open and distribute mail.
  • Greets and directs customers, vendors and visitors.
  • Serves as general coordinator for all departments with regards to unscheduled absences, vacations, and absences due to training, etc.
  • Provides administrative support for various branch departments such as:
    • Preparing memos, faxes and correspondence.
    • Orders supplies.
  • Assist other departments with special projects as requested and approved.
  • Maintain petty cash and cash sales.
  • Scan and import documents for entry into paperless system.
  • Scan documents and assist Accounting with expense reports.
  • Maintain postage meter.
  • Assist accounting in monthly preparation of customer statements.
  • Manage hotel and travel for employees.
  • Assists with special events and training events held at branch. Sign up, catering, etc.
  • Performs other duties as assigned.
  • Supports the quality initiatives set forth by the region.

Knowledge/Skills/Abilities:

  • High School diploma or equivalent required.
  • 6 months administrative experience preferred.
  • Intermediate PC skills with MS Office Products required.
  • Proven communication skills, oral and written.
  • Ability to work with minimal supervision: organizing, prioritizing and completing tasks at own initiative.
