What you will do
Accounts Payable (AP):
- Process, verify, and reconcile vendor invoices, expense reports, and credit card transactions.
- Prepare and process payments, including checks and ACH payments.
- Create and manage new vendor profiles.
- Process 1099 forms and ensure compliance with regulatory requirements.
- Monitor AP aging reports to ensure timely payments and resolve discrepancies.
- Conduct monthly purchase order (PO) reconciliations.
- Maintain organized vendor files and ensure adherence to company policies.
Accounts Receivable (AR):
- Generate and promptly send invoices to clients.
- Monitor AR aging reports to track outstanding payments and address any issues.
- Accurately record and apply payments received from clients.
- Follow up on overdue accounts and coordinate with clients regarding payment concerns.
- Create and manage new client profiles.
Month-End Close & Reporting:
- Support the Sr. Client Finance Manager and VP of Operations & Finance during the monthly close process.
- Assist in internal and external audits as required.
- Conduct budget vs. actual expense analysis during month-end close.
- Collaborate with the Finance & Operations team on ad hoc projects and special requests.
What we are looking for
- High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
- 1-3 years of experience in accounts payable/receivable or general accounting.
- Proficiency in Microsoft Office, with advanced Excel skills.
- Strong attention to detail and accuracy in data entry
- Excellent organizational and time management abilities.
- Strong verbal and written communication skills for effective interaction with vendors, clients, and internal teams.
- Ability to handle confidential information with a high degree of integrity.
- Strong analytical and problem-solving skills.
- Demonstrated ability to work independently and proactively on assigned tasks.
- Team-oriented mindset, with a focus on collaboration and professionalism.
- Familiarity with ERP systems and integrated accounting software
- Basic knowledge of GAAP (Generally Accepted Accounting Principles).
- Experience in the advertising industry preferred.
